NFIRS Tutorial
Notes:
- Reports are required any time a vehicle/company is dispatched, regardless if they actually
respond or not.
- Most required fields are highlighted in yellow. However, there are some fields that are not
highlighted, but still are required. Those will be addressed throughout this training.
- Always remember to double check your codes, even after you have chosen from drop down
menu’s, some codes automatically change after you choose them.
- Any red tab at the top means something on the page is incomplete.
- If you are attempting to complete a NFIRS for an EMS call and M251 has not yet cleared, some
info you enter prior to them clearing may be deleted. It may be best to wait until the medic
has cleared the call to start the NFIRS.
- Always obtain a minimum of a name, phone number, D.O.B. and address of anyone involved
in the incident.
- Calls involving MVC’s, be sure the vehicle information is obtained. Vehicle make/model, year,
license plate etc.
Logging In
Log in info should be the same
you use to log into the computer.
Example:
User Name: smacaluso

(your computer log in password)
STARTING YOUR REPORT:
You have two options to find and
open your report.
1. Select incident icon at the top left.
2. Select the journal icon at the top
right.
If you do choose to search by using
the Incident icon,
Select the ‘Browse’ button to select
from the list of incidents.
(see following slide)

Choose your incident.
(Note, the description section will be
blank as long as the NFIRS side has not
been started.)

choose your call
by double clicking.
BASIC TAB
PLEASE ENSURE TO COMPLETE ALL FIELDS HIGHLIGHTED YELLOW AS WELL AS OTHER
REQUIRED SECTIONS. THIS TAB CONTAINS INCIDENT ADDRESS, CALL TYPE, SHIFT, ALARM
TYPE AND OTHER BASIC SCENE AND RESPONSE INFORMATION.
The ‘Basic’ page is the first page
once you open your incident.
In all NFIRS & EMS reports, ensure
all fields highlighted yellow are
completed at a minimum.
Utilize the drop down boxes by
clicking the grey boxes to the
right of the fields to open up
options/codes.
**The Occupancy ID tab is very
important for tracking
information in FH and must be
used when responding to
business’s. If responding to an
EMS call, the only people that
need to be entered are the
patient(s) and the business name.
• ALL INCIDENTS INVOLVING BUSINESS’ IN TOWN NEED TO HAVE THE OCCUPANCY ID LISTED IN THE
REPORT. THIS ALLOWS US TO TRACK ALL INCIDENTS THAT OCCUR AT THESE OCCUPANCIES
• IF YOU USE THE SEARCH BUTTON (SQUARE WITH 3 DOTS) AT THE END OFTHE ADDRESS LINE AND CHOOSE
THE STREET NAME, A LOT OF THE INFO YOU NEED WILL BE PUT IN AUTOMATICALLY, (IE, OCCUPANCY ID,
DISTRICT, SUPPLEMENTAL BOX INFORMATION, CENSUS TRACT, ETC.). ITWILL ALSO IMPORT KEY HOLDER
INFO FROM THE OCCUPANCY INFORMATION AS WELL.
UNITS AND PERSONNEL TAB
• THIS IS WHERE YOU WILL ENTER THE UNITS THAT RESPONDED– MOST OF THE TIME THEY HAVE ALREADY
IMPORTED FROM THE CAD
• YOU WILL ALSO ENTER THE PEOPLE THAT RESPONDED TO THE INCIDENT HERE AS WELL.
• UNITS AND PERSONNEL TAB IS
WHERE YOU WILL ENTER WHAT
VEHICLE RESPONDED AND WHO
WAS ON THOSE VEHICLES
• MOST OF THE VEHICLES WILL
IMPORT WITH THE INCIDENT
FROM THE CAD.
• ANY MUTUAL/AUTO AID
INCIDENT WILL REQUIRE THE
AID GIVEN/RECEIVED DETAILS
AREA TO BE FILLED OUT
• OPEN THE UNIT BY DOUBLE
CLICKING ON IT
• CHOOSE THE RESPONSE CODE.
• 1 = EMERGENCY
• 2=NON-EMERGENCY
• CHOOSE 1 BOX
• FIRE
• MEDICAL
• RESCUE
• OTHER
• MAKE SURE ALL TIMES ARE FILLED OUT
AND LOOK CORRECT
• CHOOSE THE PERSONNEL TAB TO
ENTER PEOPLE THAT RESPONDED
• CLICK THE ADD GROUP BUTTON
TO ADD PERSONNEL
• CHOOSE STAFF GROUP SELECT
FROM THE ADD GROUP BUTTON
• CHOOSE THE PERSONNEL THAT
RESPONDED ON THAT VEHICLE.
YOU WILL NEED TO DO THIS FOR
EACH VEHICLE THAT RESPONDED.
• YOU CAN HOLD DOWN THE CTRL
BUTTON AND SELECT MULTIPLE
PEOPLE
• ONCE YOU HAVE EVERYBODY
SELECTED CLICK OK
• YOU NEED TO MAKE SURE TO ADD THE
DRIVER.
• DOUBLE CLICK THE MEMBER LISTED
THAT WAS THE DRIVER
• CLICK THE DRIVER BUTTON AT THE
BOTTOM OF THE ACTIVITY TYPE.
• CLICK SAVE AND THEN CLOSE
RESPONSE TAB
• THERE ARE SEVERAL BOXES ON THIS TAB TO COMPLETE.
• THE RESOURCES AREA SHOULD ALREADY BE FILLED OUT. THIS WILL IMPORT THE COUNTS FROM THE
UNITS AND PERSONNEL TAB
• ESTIMATED DOLLAR LOSS AND VALUE– WILL BE FILLED OUT IF THERE IS A LOSS. IF THERE IS NO LOSS
THEN CLICK THE 4 BOXES UNDER $0
• CAUSALITIES/PATIENTS & VICTIM COUNTS SHOULD BE ENTERED HERE AS WELL
• LASTLY FILL OUT THE DETECTOR BOX WITH THE CORRECT INFO
• MAKE SURE TO PUT DOLLAR
LOSS IN THIS TAB. IF THERE

• THIS IS WHERE YOU DESCRIBE WHAT YOU DID AT THE INCIDENT. MAKE SURE TO BE AS DESCRIPTIVE AS
POSSIBLE.
• INCIDENT NARRATIVE.
• THE NARRATIVE SHOULD BE AS
DESCRIPTIVE AS POSSIBLE.
• HOWEVER THERE SHOULDN’T BE
ANY PATIENT SPECIFIC DETAILS
IN THE NFIRS NARRATIVE, THAT
IS LEFT FOR THE EMS NARRATIVE.
• MAKE SURE YOU INCLUDE ALL
ACTIONS TAKEN ON THE
INCIDENT.
OTHER TAB
• FILL OUT THE USER FIELDS IN THIS TAB. THESE ARE USED FOR THE DEPARTMENT TO TRACK CERTAIN
INFORMATION RELATED TO RESPONSES.
• THIS IS ALSO WHERE YOU PUT THE MEMBER WRITING THE REPORT AND WHOWAS THE OFFICER IN
CHARGE OF THE INCIDENT.
• OTHER TAB
• MAKE SURE TO FILL OUT THE
USER FIELDS HERE
• MAKE SURE TO FILL OUT ALL THAT
APPLY HERE. THE TOP 2 BOXES
ARE REQUIRED.

• IF THE OIC AND MEMBER MAKING
THE REPORT ARE DIFFERENT,
THEN YOU WILL NEED TO ADD THE
OIC AND MEMBER MAKING THE
REPORT SEPERATLEY.
EMS PORTION OF NFIRS REPORTING
ALL EMS INCIDENTS INVOLVING PATIENT CONTACT MUST HAVE THIS PORTION FILLED OUT. IF AN ENGINE COMPANY RESPONDS
WITH M251, THE ENGINE OFFICER MUST DO THE NFIRS AND THE MEDIC MUST DO THE EMS PORTION. IF RESPONDING WITH AN
AUTO AID OR MUTUAL AMBULANCE, THE REPORTS WILL BE COMPLETED AS DELEGATED BY THE COMPANY OFFICER AND SHIFT.
For EMS calls:
If NFIRS side has already been
completed by yourself or the
responding officer, go to the
‘Additional Reports’ tab and
select ‘EMS/Search & Rescue’
and continue as shown in the
following slides
EMS - BASIC TAB
INCLUDES BASIC INFORMATION, TIMES, ADDRESS ETC. MUCH OF THIS WILL TRANSFER
OVER ONCE THE NFIRS SIDE HAS BEEN COMPLETED.
NFIRS Tutorial
EMS – UNITS AND PERSONNEL TAB
RESPONDING VEHICLES AND STAFF MEMBER INFORMATION IS ENTERED HERE. AGAIN, IF
THE NIFRS SIDE IS COMPLETE, THIS WILL OF TRANSFERRED OVER.
Select vehicle by double clicking. Another screen will appear giving you the options to
add your staff.
Check
appropriate
option.
M251 will usually be Medical. Typically, if an engine responds, they will be marked as
Rescue. You will need to only fill out the ‘Basic’ and ‘Personnel’ tabs on this page.
Once you’ve selected
Staff Group Select, you
will see a list of staff
members. Add multiple
personnel by holding
down the Ctrl key and
clicking each member.
After you’ve selected your
personnel, on the next page,
you will need to enter in the
Activity Code .
Double click the driver
from the Response
Detail page and be sure
to select the Driver
option under the
activity type.
Patients/Victims Tab
The number of patients/victims need to
be filled out in both boxes highlighted
yellow.
Click the ADD button at the bottom to
add each patient.

After you click Add for
each patient fill out all
fields highlighted
yellow. ALSO PUT IN A
PHONE NUMBER FOR
EVER PERSON.
(remember to click save
after each entry.)

Select the appropriate

- Fill out all fields highlighted
yellow.
- When doing a release, it still
asks for Loaded Miles, you can
just put in 0.01.

There are two tabs on this page,
Complaint and Provider. Both need to
be completed.

Ex: For a call in Geneva for an ALS

Enter the hospital code for
whichever hospital the patient is
transported to. If it is a release,
put in NT (NoTransport).

The PATIENT narrative goes here, this is
not the same as your narrative in the
NFIRS report. This should be a more
descriptive narrative on each patient.
You can copy and paste from the ESO if
you wrote it, or if you clearly state it is
obtained from ESO written by ______.
(Remember, you are claiming to be the
report writer at the end of this report, so
what you type, you are indicating it is
your statement.)

the NFIRS page and click Print,
Make sure Default Printer is
selected and click OK.
All of these should be pre
selected and you should
only have to select OK to
print.

IF AN ENGINE COMPANY RESPONDS WITH M251, THE ENGINE OFFICER MUST DO THE NFIRS AND THE MEDIC MUST DO THE EMS PORTION. IF RESPONDING WITH AN AUTO AID OR MUTUAL AMBULANCE, THE REPORTS WILL BE COMPLETED AS DELEGATED BY THE COMPANY OFFICER AND SHIFT.

  • 31. EMS - BASIC TAB INCLUDES BASIC INFORMATION, TIMES, ADDRESS ETC. MUCH OF THIS WILL TRANSFER OVER ONCE THE NFIRS SIDE HAS BEEN COMPLETED.
  • 33. EMS – UNITS AND PERSONNEL TAB RESPONDING VEHICLES AND STAFF MEMBER INFORMATION IS ENTERED HERE. AGAIN, IF THE NIFRS SIDE IS COMPLETE, THIS WILL OF TRANSFERRED OVER.
  • 34. Select vehicle by double clicking. Another screen will appear giving you the options to add your staff.
  • 35. Check appropriate option. M251 will usually be Medical. Typically, if an engine responds, they will be marked as Rescue. You will need to only fill out the ‘Basic’ and ‘Personnel’ tabs on this page.
  • 36. Once you’ve selected Staff Group Select, you will see a list of staff members. Add multiple personnel by holding down the Ctrl key and clicking each member.
  • 37. After you’ve selected your personnel, on the next page, you will need to enter in the Activity Code .
  • 38. Double click the driver from the Response Detail page and be sure to select the Driver option under the activity type.
  • 39. Patients/Victims Tab The number of patients/victims need to be filled out in both boxes highlighted yellow. Click the ADD button at the bottom to add each patient.

  • 46. Patient/Victim Info Assessments &TreatmentsTab: Select proper procedure code. - The city the call originated in - ALS or BLS - Resident or Non Resident Ex: For a call in Geneva for an ALS patient that lives here in town, your code would be GFD-ALS-City-Resident
  • 47. Patient/Victim Info Status &TransportTab: Enter the hospital code for whichever hospital the patient is transported to. If it is a release, put in NT (NoTransport).
  • 48. Patient/Victim Info Patient NarrativeTab: The PATIENT narrative goes here, this is not the same as your narrative in the NFIRS report. This should be a more descriptive narrative on each patient. You can copy and paste from the ESO if you wrote it, or if you clearly state it is obtained from ESO written by ______. (Remember, you are claiming to be the report writer at the end of this report, so what you type, you are indicating it is your statement.)
  • 49. Patient/Victim Info OtherTab: If you completed the NFIRS side, you can click Copy from NFIRS Report. OR click Add to add your Member Making Report and Officer in Charge info. (see additional slide) Click User Fields (see next slide)

  • 52. After you have saved everything, you will go back to the NFIRS page and click Print, Make sure Default Printer is selected and click OK.
