The employee induction process is critical for ensuring full engagement from your new
recruits and a positive entry into the organizational culture. Employee induction is
sometimes overlooked at the expense of urgency.

Employee induction - Summary
Building a productive work unit with your employee induction
process
Employee engagement is important for any organization and it is important to have a
proper induction process in place. The next step in managing your unit will be to ensure
that the employee induction process for new arrivals is well managed and consistent.
2/6
A good induction program will make sure that new staff members become part of the
team quickly and efficiently. This is where a well-structured induction program plays a vital
role.
There is nothing wrong with the induction of current employees on an annual basis in
order to refresh their sense of purpose.
The purpose of the induction process is to:
Welcome arriving recruits to their new environment
Explain the role of the new member within your company
Inform the staff member of his rights and that of the company
Explains the terms and conditions of employment
Explains the mission and goals of the company
The benefits of a good induction policy
Increase productivity
Reduce short-term turnover of staff
It plays a role in your staff performance
It commits the worker to the organizational goals
It enhances the new worker's attitude
A poor induction program for new employees can have negative
outcomes
The recruit leaves without feeling part of the team after a short while
Low morale from the new employee due to lack of knowledge
Low performance because the employee does not know the standards expected
Failure from the employer to extract full value from the appointed staff member
Bad induction policies are costly to the company because
Additional recruitment costs for replacements
The induction officer’s time wasted
Can lead to lowering morale and perceptions of the remaining staff
The person leaving damaged his employment history
3/6
Have to repeat the learning curve with a new employee
It can cause damage to the company’s reputation
What are the 3 phases of employee induction?
I well-planned employee induction process must consist of the following 3 phases in order
to be effective.
Pre-entry induction
Task-specific Induction
Post-entry induction
Pre-entry Induction
This phase will mostly take care of all the technical aspects of the new employee's entry
into your workplace. Your induction process starts at the moment when the employer and
the employee sign the employment contract.
These days it is common for organizations to send a pre-entry package to the employee
containing most documents pertaining to company vision and goals, company policy,
code of conduct, organizational structure, and other technical information required.
This is to prepare the employee for an effortless entry into the organization by gaining
technical knowledge about how the organization operates and what is expected of the
employee.
Task-specific Induction
The first couple of days the new employee will receive the practical information required
to do the job according to expectancies. This is where you have the opportunity to
integrate the employee into an already functioning team dynamic.
The new employee must be introduced to all the organizational structures and processes
that will form part of the work spec. It is very important that the employee is shown all the
resources available in and outside of the organization.
4/6
This phase of the employee induction process will mainly consist of on-the-job training in
conjunction with coaching and direct guidance from a mentor. The time period for this
must be pre-determined and well structured to ensure that all the necessary information is
transferred to the new employee.
Post-entry induction
This phase will rely heavily on effective communication and feedback as during this time
the employee will be closely monitored and work performance measured against key
performance indicators.
There should also be a time limit placed on this phase which should be long enough to
ensure the new employee can operate productively on his or her own steam. If there is a
probation period involved there is a legal process that needs to be followed.
During this period the employee will enjoy the benefit of coaching and rectifying sub-
standard performance but after that, they are considered a normal employee subject to
normal organizational structures. That is why it is important to have a deadline so things
can be normalized as soon as possible.
Making the employee induction process work for you
The induction process of the potential team member starts with the interview. The line
manager is responsible for the internal induction of his new employee. This will depend
on the level and duties of the employee.
The line managers do not have to do the complete process by themselves but they must
make use of other resources in the company.
Such as other members of the team, human resources, and where necessary third-party
training or workshops.
The induction process should at least include the following steps to ensure coverage of
the employee's duties and responsibilities.
Pre-employment - Information the recruit will need to make a soft landing on
reporting for duty
Health and Safety policies, procedures, and regulations of the company
Organizational structure, mission, and vision
Terms and conditions of employment and other agreements
Financial requirements and expectations of the appointee
Training policies and assistance from the employer
5/6
Culture and values of the company
The way you induct your new employee will determine his co-operation and output from
day one so don't neglect this process. Remember the main purpose is to get the new
employee to become productive and fit in as soon as possible.

Benefits of the induction process to the employee
It is essential that new employee induction is planned and executed successfully so that
you can immediately benefit from increased productivity in the workplace.
It is possible that without glorifying the employee they will be accepted into the team
quickly once they have come to realize their purpose in the bigger picture of teamwork.
Let's face it the whole induction program was all about letting the employee know what
the company is doing, how they intend to achieve long-term goals, and how they expect
you to behave while doing it as part of a team.
Put them at ease
Familiarize them with the new environment in a short period of time
Explained the organization's purpose for operating
Knows what the goals and targets are
Knows immediately how they fit into the bigger picture
Most importantly they know what is expected from them
Employee induction should be one of your most important processes in the workplace if
you want to have an efficient work team and a high level of productivity.
Employee induction - Summary
After this, we can see how important a well-organized employee induction program is and
the long-term benefits you can get from it.
At the end of this period, you will have a well-informed employee with the same
knowledge as other team members and if your recruitment strategy were planned
properly you would've strengthened your existing team significantly.
