Why this fails: • It requires the coordinator to double handle transactional information, first by hand and again electronically, for each deficiency as well as handle any photos in a similar fashion. • Excel is fine for organizing, filtering and sorting but is not dynamic as a database for tracking things in real time—all updates are completed in a batch process, with items waiting for approvals and follow up until there are enough to warrant putting in the time to update. • The photos on the camera may have little to no context without the coordinator giving them meaningful file names. Plus, they are not connected to the Excel-based deficiency list very easily.
- 13. Why this fails: • There is no automated follow up, or collaborative updating available. All updates and communications happen independent of the list. • The whole process occurs in a series, with no overlap between recording, updating and approving. The only connection occurs at handoffs between parties. • It involves the use of four programs: Excel, an email client, photo editor and file manager. The use of so many programs is both frustrating and inefficient.
