TUG Tips: Live!
“How to get started with
my first TUG?”
#1:Hi.
We’ll be starting in just a few moments - if you could introduce yourself by writing in the chat box and tell us where you’re dialling in from and tell us which TUG you’ll be leading, that would be great!
I’m now going to hit record so we can share the recording with you after the meeting - and now we can get going.
Thank you for your enthusiasm and passion for Tableau and the Tableau community. We can’t wait to bring you into the Datafam as a Tableau User Group Leader.
Whether you’re starting a brand new chapter or joining an existing one, this onboarding session is designed to set you up for success. If you have any questions you can always contact us on Slack (which you’ll learn more about later) or usergroups@tableau.com
#2:First off, a huge thank you for wanting to grow the Tableau Community! Without folks like you our community wouldn’t thrive and we really appreciate you applying to continue helping people see and understand their data. And a big congratulations on having your application approved to be Tableau User Group Leaders.
#3:
By the end of this session you will know what a Tableau User Group is and learn more about the TUG Community Team.
We’ll show you the tools you need to be a successful leader; how to get started - including learning about Bevy, which is the platform you’ll use to manage your chapter; and we’ll cover the next steps so you can get started!
#4:The Tableau Community is the biggest Data Community in the world and Tableau User Groups makes up a core part of it and you’re joining as a leader at a very exciting time.
Participation in User Groups is growing - with over 38,000 people signed up for at least 1 user group, almost 200 User Groups taking place in 42 countries.
#6:So what are Tableau User Groups? As the name suggests they are meetups led by users for users. It’s a place for Tableau users to come together to connect, learn and discuss all things Tableau. And as leaders, it’s your role to bring these to life. Which includes and is not limited to creating content, reaching out to your audience and finding what they want to learn and who to hear from. Remember: This is your chapter. Your group. Make it what you wish, as the possibilities are endless.
You and your leadership group will decide the entire experience. A successful user group doesn’t have to be huge, it could be 5 people, it could be 100! What matters are the conversations and connections made.
#7:There are 4 key qualities of a TUG leader.
Firstly, you need to be a Tableau Enthusiast! Enjoying using the product and understanding the value of learning.
It’s important to be a good planner because you’ll need to organise 4 TUG events each year and you’ll need to publish your first event within 4 weeks of this onboarding call.
You’ll also need to be a creator - understanding the value of good content to attract people to your event and get them coming back for more.
Finally, it’s your job to promote your events - sharing on socials and within your networks.
#8:As we said, we want you to be successful. To be successful here are some expectations to be a TUG leader.
Host at least 4 inclusive events each year. Most groups aim for 1 meetup in Feb/March, 1 meetup April/May (around Tableau Conference), 1 meetup around Sept/Oct (around Dreamforce) and a final meetup to celebrate EOY.
Plan your first event and publish it onto Bevy by 18th July - just over 4 weeks of this onboarding session
Utilise our TUG Leader Slack Community. Engage with others on there, help other leaders, ask questions and ensure you’re using all the workflows in there.
All our leaders across the world sit on here. So you’ll be able to chat to folks from every region to get best practices etc.
Make sure to join our Tableau User Group Leader hub on Bevy. It’s where we host all of our quarterly calls which you’ll get program updates and more. Plus any other user group specific events that you need to know about.
Align with our Tableau Community Code of Conduct. Here at Salesforce and Tableau we create safe and inclusive spaces for the community and to do this it’s important to follow the code of conduct. You can click all these links when we send the presentation so you can learn more.
#9:And onto the fun stuff! Being a Tableau User Group leader, you’ll get access to lots of great things for your meetups.
We reimburse and allocate budget for each group to spend money on venue, catering and event expenses.
You’ll have support from a dedicated Community Management team from all around the world.
And we have a great TUG leader guidebook which will have the answer to all your questions
You’ll be able to request for swag for your attendees
#11:Your Tableau User Group Community Team are here to help!
Kelly’s based in London and leads the TUG, Academic and Data Leadership Collaborative Programs.
Rain’s based in the US and is the Tableau User Group Program lead.
I focus on Enablement and Support and I’m based out of the UK.
Melissa’s based in the Netherlands and she focuses on Operations and heads up our reimbursement process. She will be there to guide you through payments.
#12:As well as all the Tableau Community User Group team, we’ve also got our amazing Tableau User Group Ambassadors. They’re folks that have been formally recognised for the great work they’ve done for the program. Here are some of our Tableau User Group Ambassadors that you can reach out to. But there are 39 around the world, so check out the link and find a TUG ambassador close to you. Or if you prefer to speak to someone in a local language, reach out to your Community team POC who can connect you. They have so much knowledge and super handy tips and tricks and will be a great help in answering any questions you may have as you get started.

#15:Here are the kinds of resources you can find in the workspace.
You’ll find:
Program announcements
Help on swag and Bevy
You’ll be able to network and ask questions to other leaders
You’ll be able to source speakers for your next event
We recommend you download to your desktop and mobile as an app and turn on the notifications so you don’t miss out.
If you’re not familiar with how to use Slack, these modules on Trailhead will help you get started.

#16:To help you host all your events, you’ll gain access to Bevy - our event management platform.
Bevy is our virtual platform where all your events are hosted - similar to Splash, Meet Up etc…
The difference with Bevy is that you can also host virtual meetings directly from the platform.
#17:Bevy is a self-service all inclusive event management platform that will allow you to create your event pages, manage your attendees and build your chapter. You’ll be able to see post event analytics and send emails all through this platform.
It also has its own video conferencing capabilities. So whether you’d like to have an in-person, virtual or hybrid event, Bevy is created to be able to make it very easy for you to manage.
Bevy includes video conferencing, but remember to register for your own event and join at least 10 mins earlier for a tech check
<switch to the demo account on Bevy> show users what the backend looks like, how to update the ABOUT section, create a new event, use the email, forms and different sections of Bevy.
#18:We recommend you watch the video here: https://youtu.be/6sHynH0wT4k to learn how you can update your chapter page - including how to update the About section. The video also shows how to create and publish in-person + hybrid events, how to send emails and change scheduled emails, how to edit the registration forms and post event forms as well as how to wrap up an event.
You can find this video and other helpful training videos on the TUG Leaders Hub page https://usergroups.tableau.com/tableau-user-group-leader-hub/
We’ve also added a link to the Bevy step by step guide which walks you through the next steps.
If you have questions or get stuck, please post on the #bevy-help channel on Slack.
Alternatively, you can reach out to the Bevy team by logging a ticket in the HelpCenter. They’re super responsive and helpful.
#19:We recommend you take a look at other TUG pages to get inspiration.
A good page has an introduction to the TUG team, it holds recordings from past events, ways to contact the leaders and the links to upcoming events!
#20:The TUG Leader hub page on Bevy is your ‘one-stop-shop’ for everything you need to know about leading your TUG
#21:The TUG Leader Hub is where we host and share quarterly TUG Leader calls as well as share helpful videos and content.
After your initial onboarding the TUG Community Team will give you leader access to the page. It’s hidden, so you might want to bookmark this page.
NOW DEMO TUG LEADER HUB PAGE
#22:We recognise the cost of hosting meetups (in person, in particular) it is very expensive, so we offer a tiering system for reimbursements. For all virtual meetups you may be reimbursed up to 100$.
From there, depending on the number of registrations you have, the budget you may be reimbursed will change. Tier 1, RSVPs of 2 - 23 is $350 USD, 26 - 50 is 500$ and so on and so on. Please review the guidebook for more information. And which includes what can / can’t be reimbursed..
#23:Now, here are your first steps to get started!
#24:Meet with your co-leaders: discuss the timing, topic(s), speakers and location for your first event
Complete your “About” section on your chapter description on Bevy
Make Your TUG Event Page exciting!
Publish Your First Event (before 29 July) and be sure to let us know so that we can make your TUG page active on Bevy
Start sharing it on social and with your networks!
#25:Now that you’re all set on what is Bevy and how it works use this slide to help plan your next meetup - you can use it as a checklist to make sure you aren’t forgetting anything along the way. We suggest starting out at least 4 to 6 weeks in advance to the event date. Remember it’s an experience you’re creating from before to after the event.
#26:So . . . have you heard about this thing called Agentforce
