Sources and promotions can be set up

Booking requests that cannot be

Advanced Waitlist.
When an existing booking is deleted, the

provisional bookings can be added to the
waitlist whilst you wait for a deposit.

gives you a complete up-to-the-minute view

and waitlists and last minute web bookings
can all be managed from one screen,
putting complete front-desk control at your
fingertips.

Like all screens in QuadraNet Reservations,
Live Check-In can be viewed from any
computer, whether it’s at the front of the
restaurant, the hotel reception desk, the
manager’s office or the director’s laptop.
This means that you can keep an eye on
the progress of any session at any of your
restaurants, as it happens.
Always choose the best table for
bookings and walk-ins
By understanding all of your tables,
including your joined tables (and the order
in which you wish to sell them) QuadraNet
Reservations will always recommend the
best possible table for each booking and
walk-in. (So if you want to fill the front of your
restaurant first, QuadraNet Reservations
will automatically suggest these tables
before any others.) Although QuadraNet
Reservations can be trusted to always
recommend the best table, you can still
override its suggestion and choose to seat
a booking or a walk-in on an alternative
table. If that table has another booking
assigned to it, QuadraNet Reservations will
automatically shuffle all of your
future bookings to accommodate this
table change.
Seat more customers with table usage
optimisation
When you try and seat a booking or
walk-in in Live Check-In on a table not
recommended by the system (including
joined tables), QuadraNet Reservations will
attempt to shuffle all of your future bookings
to accommodate the table change.
By re-optimising your table usage on the fly,
QuadraNet Reservations Live Check-In gives
you maximum freedom without losing any
control. You can do away with fixed seating
plans and eliminate wasteful allocations.
You can seat walk-ins with confidence, safe
in the knowledge that your future bookings
are all being looked after by the system.
Because the system works just as well with
joined tables, you can accept large walk-
ins and let the system move your smaller
bookings to accommodate everyone.
If, however, you have bookings that you
do not want to move, you can hard
assign them at the start of the session and
QuadraNet Reservations will optimise the
rest of your restaurant around them.
Manage in-session waitlists from the
Check-In screen
Walk-ins that cannot be seated immediately
can be added to a live waiting list in Live
Check-In, with tab numbers/messages and
names held for each waitlist request.
You can also give each guest on the waitlist
an estimated waiting time, and the system
will even prompt you when this time is
reached. Names on scraps of paper are
eliminated, and you’ll never accidentally
leave someone standing at the bar.

Track arrivals with status colours
If a guest arrives but does not go to their
table immediately, you can quickly colour
code their booking (and add a message, if
required).
A quick glance at your system will then show
you exactly who you have waiting in the
bar (and what tab number you have given
them).
Lock sections and tables
Individual tables and/or sections can be
locked/unlocked in real-time from Live
Check-In, allowing you to close off sections
of the restaurant or hold specific tables as
reserve tables.
Quickly flag No Shows
A no show time (how long you will hold a
table for a booking after the arrival time has
passed) can be set up. Once this time has
elapsed, the system will remind you that the
guest has not arrived.
You can then quickly flag the booking as
No Show and the allocated table will be
released for walk-ins.
This no show flag will be stored automatically
in the guest’s customer history, and can be
viewed the next time they book a table.

Full customer histories
QuadraNet Reservations comes complete
with a fully-featured Customer Relationship
Management (CRM) suite. All customer
and booking information that is captured
in QuadraNet Reservations (including
information from web bookings) is held in
your own database that you can access
and interrogate at any time.
Powerful query tools
With so much information available, it’s
important that you can access it in a
beneficial way. With its intuitive query
builder, QuadraNet Reservations CRM lets
you quickly create invaluable customer lists.
From something simple (like finding every
customer with an email address) to more
complicated searches (like everyone with a
birthday in March who has visited more than
three times in the last 12 months and spent
more than £100), the query editor allows you
to compile the specific lists that you want in
no time at all.
Once you have your list, you can use
QuadraNet Reservations CRM to export
the customer records as an .xls or .csv file,
or use the built-in marketing tools to send
fully personalised email, SMS or postal
newsletters, promotions, invites etc.
Spend data
When linked to a Point of Sale system,
QuadraNet Reservations stores full spend
data down to item level for each booking.
With this information, you can fine-tune your
searches even more. If you are launching a
membership scheme, you can use a spend-
per-head search to find your top customers.
If you are running a wine tasting evening,
you can invite everyone who has enjoyed a
particular bottle in the past, for example.
Integrated email/SMS marketing

Open tables in Point of Sale
With a Point of Sale link, opening a table
in QuadraNet Reservations Live Check-In
automatically opens the corresponding
table in your Point of Sale. What’s more,
moving tables in POS will automatically
swap the booking in Reservations, ensuring
that your two systems stay in sync and work
perfectly together.
Track table statues
When linked to a Point of Sale system, table
statuses can also be colour-coded and
updated automatically, so you can see, at
a glance, who’s paid their bill and who is
waiting for their starter.
All status updates are time-stamped, so you
can quickly see when someone ordered or
how long they have been waiting.
Live table status updates are also invaluable
when managing walk-ins and waitlists. When
a couple walk in, it’s useful to know how
many tables of two are on dessert or waiting

Unique table joins
QuadraNet Reservations is unique in that it
understands how your real tables can be
joined together to accommodate larger
bookings (and with many restaurants
making up at least 40% of their availability

of your tables for six, they won’t accept
any more bookings. With QuadraNet

Fully scalable solution with multiple
locations
Multiple locations can be configured
within one Res database. Locations can
be separate physical locations (multiple
restaurants across a group) and/or locations
within a single restaurant (private dining
rooms, terraces etc).
This means that groups can have central
reservation offices that can take bookings
for several sites just as efficiently as the
restaurant manager for each site.
You can also quickly check availability
across locations (allowing cross-selling) and
can automatically filter locations to show
only those with availability.
Two or more locations can be linked so
that they share one cover-total tally (when
several location share a kitchen,
for example).

Yield management
Once your tables have been configured,
you can also tell QuadraNet Reservations
exactly how you want to sell these tables.
Maximum tables per size/type per
timeslot
Availability can be controlled by table
size, with limits placed on the number of
a specific size/type of table that can be
booked at the same time (during the same
timeslot). Once this total has been reached
for a timeslot, a manager’s password is
required to accept more bookings. Large
bookings can be limited to specific timeslots.
Maximum covers per timeslot
Each timeslot is also given a total number
of covers to be seated during that timeslot
(a kitchen limit, for example). Once this
total has been reached for a timeslot, a
manager’s password is required to accept
more bookings. By lowering the total
covers to be seated during peak times, a
restaurateur can push bookings into earlier
or later timeslots, increasing the number
of table turns and therefore increasing the
total number of covers seated during
a session.
Standard durations automatically
defined by booking criteria
The standard duration for a booking can
be configured by table size, date, time etc
(allowing a table for eight on a Friday night
to have a different standard duration to a
table for two on a Monday lunchtime, for
example). By setting accurate durations for
different sessions, you can ensure that you
can turn more tables and accommodate
more guests.
Durations can be amended at the time of
booking, allowing you to squeeze in extra
reservations or extend durations to give
people more time at the table.
Booking, customer and configuration
audits
Full audits are available for all bookings. Any
changes (time, covers, deletion etc) are
recorded, together with the user ID and the
time of the change.
This means that all changes can easily be
tracked and undone if necessary, reducing
potential mistakes.
Documentation audits (confirmation emails/
SMS messages) for each booking are also
available, including the delivery status of the
correspondence (pending, sent etc).
Configuration changes are also audited,
ensuring you know exactly who has been
accessing your system.
Maintain security with user roles
Each user is given a specific role (booker,
manager, administrator etc) and specific
permissions (make booking over a certain
size, delete bookings, export customer
records from CRM etc). If a user does not
have permission to carry out certain actions
(make a booking over a certain size, for
example) a manager’s password can be
entered to allow the user to complete
the action.

QuadraNet Reservations clients that use Live Check-In find they can seat up to 20% more customers in a peak session without putting any extra strain on their kitchen or adversely affecting their levels of customer service. Like all screens in QuadraNet Reservations, Live Check-In can be viewed from any computer, whether it’s at the front of the restaurant, the hotel reception desk, the manager’s office or the director’s laptop. Always choose the best table for bookings and walk-ins By understanding all of your tables, including your joined tables (and the order in which you wish to sell them) QuadraNet Reservations will always recommend the best possible table for each booking and walk-in. Although QuadraNet Reservations can be trusted to always recommend the best table, you can still override its suggestion and choose to seat a booking or a walk-in on an alternative table. Seat more customers with table usage optimisation When you try and seat a booking or walk-in in Live Check-In on a table not recommended by the system (including joined tables), QuadraNet Reservations will attempt to shuffle all of your future bookings to accommodate the table change. By re-optimising your table usage on the fly, QuadraNet Reservations Live Check-In gives you maximum freedom without losing any control. You can do away with fixed seating plans and eliminate wasteful allocations. You can seat walk-ins with confidence, safe in the knowledge that your future bookings are all being looked after by the system. Because the system works just as well with joined tables, you can accept large walk- ins and let the system move your smaller bookings to accommodate everyone. If, however, you have bookings that you do not want to move, you can hard assign them at the start of the session and QuadraNet Reservations will optimise the rest of your restaurant around them. Manage in-session waitlists from the Check-In screen Walk-ins that cannot be seated immediately can be added to a live waiting list in Live Check-In, with tab numbers/messages and names held for each waitlist request. Quickly flag No Shows A no show time (how long you will hold a table for a booking after the arrival time has passed) can be set up. Configured to help you achieve more (cont.) 9 Yield management Once your tables have been configured, you can also tell QuadraNet Reservations exactly how you want to sell these tables. Maximum tables per size/type per timeslot Availability can be controlled by table size, with limits placed on the number of a specific size/type of table that can be booked at the same time (during the same timeslot). Once this total has been reached for a timeslot, a manager’s password is required to accept more bookings. Large bookings can be limited to specific timeslots. Maximum covers per timeslot Each timeslot is also given a total number of covers to be seated during that timeslot (a kitchen limit, for example). Once this total has been reached for a timeslot, a manager’s password is required to accept more bookings. By lowering the total covers to be seated during peak times, a restaurateur can push bookings into earlier or later timeslots, increasing the number of table turns and therefore increasing the total number of covers seated during a session. Standard durations automatically defined by booking criteria The standard duration for a booking can be configured by table size, date, time etc (allowing a table for eight on a Friday night to have a different standard duration to a table for two on a Monday lunchtime, for example). By setting accurate durations for different sessions, you can ensure that you can turn more tables and accommodate more guests. Durations can be amended at the time of booking, allowing you to squeeze in extra reservations or extend durations to give people more time at the table. Booking, customer and configuration audits Full audits are available for all bookings. Any changes (time, covers, deletion etc) are recorded, together with the user ID and the time of the change. This means that all changes can easily be tracked and undone if necessary, reducing potential mistakes. Documentation audits (confirmation emails/ SMS messages) for each booking are also available, including the delivery status of the correspondence (pending, sent etc). Configuration changes are also audited, ensuring you know exactly who has been accessing your system. Maintain security with user roles Each user is given a specific role (booker, manager, administrator etc) and specific permissions (make booking over a certain size, delete bookings, export customer records from CRM etc). If a user does not have permission to carry out certain actions (make a booking over a certain size, for example) a manager’s password can be entered to allow the user to complete the action.
