• Traditional systems which was mainly paper-based
required large amount of space to store information.
This will limit the exchange of information, updating and
causes loss of documentation. It also hinders flexibility
as far as the running of the organization is concerned.
• This project on school management system is one
complete information management solution
management for students and teachers of any
educational institution.
• In today’s world there’s a need to organize data more
than ever before, crucial amounts of data can be lost if
infrastructural implementation of the software system is
ignored.
5. 5
BACKGROUND
Data is fast growing and fast rising in complexity. To make
life easier it is important to safeguard data integrity
through implementation of necessary IT solutions. The
proposed system will manage school records through a
database and will automate the school’s processes making
life easier for both the student and the teacher to enhance
learning.
The proposed system will manage student records such as
name, academic scores and fee information. All this will be
implemented by a database storing all the student
information.
The system will also have a user-friendly interface to be
accessed by administrators and students all to improve the
quality of the services the school provides to its students.
6. 6
PROBLEM STATEMENT
Automation can be defined as the process of minimalizing the hard
work with the help of computers.
Automation is important as it maintains integrity and continuity of
data. It also provides an organized way of handling some intricate
school procedures.
Creating an application for organizations interested in an
automated school management system.
Displaying records on the dashboard.
Dealing with all problems associated with manual student
allocation.
7. 7
SOME OF THE PROCESSES
HANDLED BY THE SYSTEM.
Some important functions handled by
the system will include.
• Student Registration.
• Fee Status Handling.
• Teacher registration.
• Course allocation.
• School information.
• Performance monitoring.
8. 8
PROPOSED SOLUTION.
• School management system is an online application whose sole objective is to
manage student and teacher records in an institutional organization.
• The student management system will preserve the student and administrator
resources. This system provides a simple interface for the maintenance of
student information. It involves operations such as registering the scholar’s
details, assignment of department according to the course chosen and
maintaining of records. The data is stored in a database repository that makes
it simple to acquire and data modification can be done whenever it is required.
• It helps fetch data about a student just with a few clicks. This system will also
help in generating status report of a student such as fee balance and student
results.
• The student and administrator have a unique username, login and password
all of which is recognized by the database after a user is created.
9. 9
OBJECTIVES OF THE
SYSTEM.
• Enhance information maintenance through recording information
in a database.
• Student and staff registration.
• Fee status handling.
• School information showcase.
• Performance monitoring.
• Creating an application for organizations interested in the
automated student management system.
• Dealing with drawbacks from manually managing student
information.
10. 10
JUSTIFICATION.
We propose this application of school management system.
Its going to be an automated application that converts the
traditional pen and paperwork into a computerized online
system.
This will be obtained by carefully studying each user, its role
and its level of hierarchy in the institution. Each user will fall
on a different level of the hierarchy pyramid and will be given
its set of roles and permissions so that there is no mix and
match of the user’s responsibilities.
By making use of the application , the level of efficiency of the
institute will increase tenfold and enhance the quality of
administration to enhance the level of education.
11. 11
SCOPE
• There are two main modules in this proposed system.
According to the role-based hierarchy their functioning and
privileges are given below.
• A) Student.
• Once the student has registered in college the administration
provides them with credentials to log into the system.
• Due to role-based access model the user will get only those
privileges for which one has registered, Here the user is a
student and some of his privileges are,
• Viewing and editing profile dashboard.
• Viewing of results.
• Viewing of fee status.
12. 12
c) Administrator.
Will be responsible updating student details about
admissions.
Fee details of the student are updated and modified
by the administrator. Updates such as paid fees ,
unpaid fees or defaulters are generated here.
Adding student marks.
Adding teachers.
13. LITERAURE REVIEW
This chapter deals with changes in the management of
education institutions and why new trends and patterns have
emerged in the governance of education institutions. It
discusses the following areas ( Management and its evolution in
learning, The rationale for changing management practices in
educational institutions, Managerialism and its concept of
underpinning, The various modes of management in education
institutions).
Management refers to the structure and process of
implementing decisions, ‘governance” to the process of making
decisions and leadership to the structures and processes
through which decisions are influenced. These areas include
finances, programs, human resources. The system will be
dynamic enough to meet intricacies discovered in these areas.
Managerialism is a crucial part of organizational hierarchy.
Managerialism is the right to manage an organization and make
appropriate decisions about use of organizational resources.
Administrator privileges allow the manager to make decisions
on the school’s data. This enhances transparency in the way the
administrator filters the institutions data.
14. METHODOLOGY
• Visit other learning institutions for benchmarking.
( Already established high schools such as Utumishi
Academy).
• Visit sampled high schools to find out the challenges they
may be facing.
• Use UML to aid in the design.
• Use OOP concepts to develop the prototype.
• Implement use of interviews and questionnaires.
• Use water fall SDLC (Software Development Life Cycle).
