System Guide Lines and Use Explained:

 Simple transitional processwill startbyremovingthe currentrequesttimebook. Same policies are observed and
applied as if you request through the book.

 Assistant will be provided all the time until everyone is comfortable
using the system
Screen 1: System Access Level
All staff will need to log in using user ID as staff and password as staff to
be directed to staff portal
To gain initial access to your personal account you will continue using the
current User ID and Current Password as long as it is convenient whereas in future you will have the option of
changing either or both.
Screen 2: Staff Portal
If you needtorequesttime off youstart by selecting first
button labeled “Request Time off Here”
Screen 3: Request Time Window
Staff will be able torequesttime off once accessed their account by
following highlighted 1-5 steps. Once you are done submit your
request,however,if youhave more dates to request then continue
withthe same sessioncomplete steps 1-5 for each request, there is
no limit.
 To activate systemrequestmoduleyouneedtoclickon pull downmenuthen use enter User ID and Password as
requested.
 Once your name appears click on it to confirm identity, as your name fills the field go to following steps.
 Each step you are required to pull down menu and follow automation.
 When select dates use smart calendar for accurate dates.
 When satisfied click on submit. Check other features or Exit portal.
 By givingthe reasonfortime requestedoff will helpthe office to consider and prioritize requests in case of high
volume request for a particular day or seasonal period.
 Office maygive ajustificationforrequestdeniedormayapprove asconditional orevenmayask to see the office
for personal one to one discussion
At this point If you sense any difficulty or system glitch please do not hesitate to communicate with Teresa.

Screen 4: Sample Report
As soon as you submit request for time off it will
appear on system as PENDING, once Teresa or
Michael had a chance to look into your request
among others, then a decision will be applied
accordingly no difference than using the book.
 To check yourrequest status;youwill accessyour
account as above then click on “Check your
request” button.
 You will be asked to enter your User ID and
Password for validation. A report will be
generated for your records of time request off
with the latest update and you can view or print
your record for later use or reminder.
Screen 5: Other Features
Thirdactivityis that youcan accessyour profile toview onlyyourinformationsuchas address, phone number, date
of birth also home department and potential work areas you are assigned to.
 In additiontothe above viewyoucanchange you User ID and Password as many times as you like, however you
must remember the information you changed on the system to be able to gain access and use the system in
future requests.
 One of the featuresthatthe systemoffers is confidentiality and privacy to your request time activity unlike the
current open book system that allows everyone to know about your business.
 Another equally important feature that the system generates tailored reports that helps Office to apply your
request efficiently in timely manner and provide you with feedback before schedule is posted
