Master DLs in Eloqua

The Master DLs are contained in
a folder within Eloqua called
“Master DLs” where the Ops
team member can locate the
correct DL to copy. This new
method requires the Ops team
member to make minimal to no
updates to each new DL created.

Highlighting the positives
Saves time
Decreases errors
Onboarding/Training team members becomes much easier and
faster
Department changes which impact the way a DL is built can be
implemented immediately by updating the Master DLs.
• Example: In May of 2013 the Ops team was asked to create a new protected
contact group for SLED. The segment owner wanted this group to be excluded
from all outbound emails unless permission was granted. After adding this
new contact group to the affected Master DLs the change was immediate and
seamless.

Checklist
1. Do I use an appropriate Master DL template?

• Events: Regional events, Online events (Webcasts)
* KnowledgeSeries has its own Master DL

• Products: Email flows (Eval, Mat), Product announcements/Product promos
• Newsletter: Newsflashes
• Partner: Partner communications
• Transactional: End of Availability announcements, TY and MY follow-ups, emails when lists are provided
• Patch alerts: Patch alerts, maintenance releases
2. Have I checked a flighting schedule and excluded higher priority DLs? (applicable for Events, Products, Newsletter)
3. For events: should we exclude a current registrant list? If so, is the list available in Eloqua? Examples:
VMworld (external registrations) vs. KnowledgeSeries (registrations hosted in Eloqua).
4. If a “13_Q3_XXXX_...._ALL INCLUDED” CG is used under the “Excluded” section, have I excluded a Seed List
from that contact group?
5. Are there approvals for using protected groups and PPLs?

Process
1. Create a DL based on a specified criteria
2. Insert list counts and benchmark counts in the “Notes” section.
Approvals of list counts are no longer required.
Notify a PM through Opstrack that the DL is ready for batching.

3. Two days before the flighting date, Elena or Carlos sends a
screenshot of consolidated list counts (NORAM and LATAM) to all
requesters and PMs who have their projects scheduled for that
specific flighting date.

• CG “SMB – Master Group Combined”
* Unknowns are usually added to SMB

• CG “Commercial – Master Group Combines”
• CG “Enterprise – Master Group Combined”
2. Regions (Filters)
• Region NORAM
• Region LATAM
 Subsets: COUNTRY LATAM Brazil; English-speaking LATAM; Spanish-speaking LATAM, NOLA Countries

3. Customers vs Prospects (CG)
• CG “CUSTOMER - ALL (AMER)” (New! – Oct 2013) (use under “Excluded” for Prospects only, or
under “Eligibility Criteria” for Customers only).

• CG “Customer – Healthcare” (use for Healthcare DLs when only customers are requested).
