Altzian Brey’s Pharmacy – Kawit Branch
• Client: Altzian Brey Incorporation
• Business: Brey’s Pharmacy
• Branches: Six (6) branches all over Cavite.
• Current System: offline Point of Sale system
• System Limitations:
1. Accepts customers payment and records
sales.
2. Supports creating and modifying product
catalog.
3. Using barcode technology.
4. No proper inventory management.
• Proposed System: Web-Based Inventory
Management System with Point of Sale.
PURPOSE AND DESCRIPTION OF
THE PROJECT
• Purpose:
Provide an innovative solution to Brey’s pharmacy’s on-going inventory problems
by providing a new system.
• Description:
An online web-based inventory management with point of sale system is proposed to
automate parts of inventory management. To provide a platform that oversees
inventory, sales, and accounting.
STATEMENT OF THE PROBLEM
1. The current inventory system is obsolete which results for the inventory level to
show no movement at all , which forces the client to do manual inventory.
2. The client’s income sheet is manually written which is prone to lost of data and
unnecessary errors.
3. The current cashiering system does not recognize Gcash as payment, which
forces the client to do manual recording.
OBJECTIVES OF THE STUDY
• General:
To develop a web-based inventory system with point of sale dedicated to Brey’s
Pharmacy.
• Specific:
• To create an inventory module that will show stocks level
• To create an accounting module that will generate income sheet reports
based on sales report.
• To integrate a point of sale system that accepts Gcash as payment.
SCOPE AND LIMITATIONS
• Scope:
• The web-based inventory system would be able to:
1. Be accessible online on a desktop environment through a web browser.
2. Generate reports based on inventory changes for one cycle.
3. Provide downloadable reports for offline presentations.
4. Generate alerts for stock control.
5. Show KPIs and other performance metrics.
SCOPE AND LIMITATIONS
• Scope:
• The accounting part of this system would be able to:
1. Provide a financial report for income.
2. Record transactions based on invoice rendered through the POS system.
• The Point of Sale System (POS) would be able to:
1. Calculate sales with tax and accept cash payment and Gcash payment.
2. Automatically apply changes to inventory for sales tracking.
SCOPE AND LIMITATIONS
• Scope:
• The System Administration part of this system would be able to:
1. Track Employee Logs.
2. Add, edit, and archive files related to accounting, POS, and Inventory.
SCOPE AND LIMITATIONS
• Limitations:
• The system limitations are as follows:
1. The system can only be modified online.
2. Full experience of the application can only be achieved using a desktop.
3. The system is limited to accepting cash and Gcash payments only.
4. The accounting system would only provide a summary statement based on
inventory and sales reports generated over one cycle set by the user. Therefore,
it is limited to presenting a financial statement based on inventory and POS
data.

keeping a proper storage for products, recording of product details such
as expiration dates and count.
Manual vs Automated Inventory Management – the advantages
of automated over manual inventory management inspired the
researchers to propose an online inventory management.
Point of Sale (POS) System – The proposed system employed the idea
of a traditional cashiering system.
Retail Automation - it is based on studies that manual inventory
management in retail businesses cannot support the needs of
customers.
Jynisys Software Company Defines Importance of POS – researchers
inspired their supports handling of a variety of functions at sale point.
Inventory Control - this help us to have both manual or human
efforts and computerized data included in the system.
Integrating Inventory and Accounting - inventory movements enables
businesses to keep track of Cost of Goods Sold (COGS) and profits,
predict time of reordering, and forecasting price change for products.
Monitoring and Inventory – the proposed system would be able to
monitor stocks movement and suppliers and products data.
Sales and Inventory System of Edmar Marketing - It should prevent
users from manipulating inventory stocks because every necessary
details would be recorded in the system.

does not need to be manually updated by the client, and it can be run on
any operating system that has an installed supported web browser.

system for monitoring was proposed to expand existing information
system with an aim to communicate international education.
Web-Based Inventory Management System - Because of the wide use
of cloud-based applications, web-hosted softwares are often free. That is
why most of small businesses today are recommended to use web-based
information management systems.
Computer-Based Information System - researchers system that
supports decision making, coordination, control, analysis, and
visualization. Basically it holds the processes that is applied to data
to turn it into a useful information for the organization.
Automated Inventory - Through automation businesses can save time
and labor, and track inventory efficiently.
Integrated Sales and Inventory Management System
Implemented In Three-Tier Architecture - the proposed system
was able to lessen human errors and was efficient and effective in
driving profit.
Benefits of Automated Inventory – analyze reports from different
branches generated on one platform; instead of reordering per product, it
can be done by store; for receiving and purchasing notifications can be
enabled for upcoming products; and lastly through a automated inventory
system, the main branch can manage royalties for other branches.

location which can result to accurate accounting since cost of goods
sold (COGS) and revenue will be recorded in the system
simultaneously.
On-premise POS vs Cloud POS – It inspire researchers because it also
needs a cash drawer to serve as a secure place for cash payments.
Must-Have Inventory Management System Features,
Requirements & Modules - it inspired our system to their study to
feature of due to the advancement of technologies.
Barcode Inventory System – it inspire the researchers that using a
barcode, stocks can easily be tracked in the inventory system, and
changes applied to the inventory can be automated by scanning a barcode
to record purchase or return.
Return and Refunds for Medicine – due to this study it helps the
researchers that customers can easily return products in retail
medical supplies shops however returned products cannot be re-
distributed or reused due to their outside exposure.
SKUs vs UPCs – this researchers inspired to this study for terms that are
used interchangeably in a retail setting.

wants to include in their system, a fully automated inventory tracker.
Oasis – the feature of Oasis that the researchers adapted is hearing the
clients’ problems to provide a solution using their system.
Loyverse – loyverse accommodates cashless payments as one of their
payment methods, which is the newest and trendy way to pay in todays
era.

SYNTHESIS
Furthermore, some systems especially those developed and used in foreign countries
have advanced features and integration of other information systems such as advanced
Accounting, and Supply chain management. These features that cannot be applied to the
development of this project but are relevant to improvement of technologies. Despite not
being able to adapt to these changes the system remains to be standard and fitting in the
clients needs.
It is important to understand that every system can provide basic management tools,
but the effectiveness and efficiency of the software that would be employed by a certain
business depends on the number of the needs or errors in the old system were solved.

• The company is currently using an offline POS system which is supported by
manual recording of other related transactions. Specifically:
1. The system came with desktop, cash box, barcode scanner, and thermal printer
to record Sales.
2. Inventory management such as stock replenishment, and returns and refund,
carrying cost, freight costs, and obsolescence are also manually recorded by
the client using pen and paper.
3. Sales, Cash, and inventory is being reconciled at the end of the day and
recorded manually.
4. Gcash payments are recorded separately.

SYNTHESIS Furthermore, some systems especially those developed and used in foreign countries have advanced features and integration of other information systems such as advanced Accounting, and Supply chain management. These features that cannot be applied to the development of this project but are relevant to improvement of technologies. Despite not being able to adapt to these changes the system remains to be standard and fitting in the clients needs. It is important to understand that every system can provide basic management tools, but the effectiveness and efficiency of the software that would be employed by a certain business depends on the number of the needs or errors in the old system were solved.

TECHNICAL BACKGROUND • Overview of the Current Technologies Used in The System • The company is currently using an offline POS system which is supported by manual recording of other related transactions. Specifically: 1. The system came with desktop, cash box, barcode scanner, and thermal printer to record Sales. 2. Inventory management such as stock replenishment, and returns and refund, carrying cost, freight costs, and obsolescence are also manually recorded by the client using pen and paper. 3. Sales, Cash, and inventory is being reconciled at the end of the day and recorded manually. 4. Gcash payments are recorded separately.
