THE PROBLEM

CURATOR PERSPECTIVE
4
The History of Reproduction Requests: Photocopy for a Charge
CURATOR PERSPECTIVE
5
The Evolution of Reproduction: Self-Serve Scan for Free
CURATOR PERSPECTIVE
6
The Evolution of Reproduction: Mediated Scanning for Charge
Lack of Consistency in:
• Scanning Protocols
• Pricing
• Delivery
• Storage
• Documentation (redundancy)
• Turn-around time
DIGITIZATION PERSPECTIVE
7
The Biggest Challenge for Curators? Change

METADATA / UPLOADING PERSPECTIVE
9
How easily will the process fit into current workflows?
• What turnaround time is expected?
• New collections vs. adding to existing collections
• Are there any limitations influenced by our systems?
THE SOLUTION
10
11
12
Digitization Request Form
*
13
14
Should the request go online?
*
15
Development of Online Access Solutions
• Minor adjustments to current workflow
• Working with limitations of our digital asset management
system (CONTENTdm)
o Boutique or mixed collections are not ideal
 One-to-one correlations are necessary for additional
processes
 Size of collections can be problematic
o But...Number of collections is limited and may be an
issue down the road
• Focus on quick turnaround
o Generic landing page graphic and text
16
17
18
Digitization Request Workflow
RESULTS
19
• ~90 requests since July 31, 2018
• 64 of those requests will go online
20
https://en.wikipedia.org/wiki/USS_LST-749
NEXT STEPS
21
22
Digital content linking
• Apply current process to link digital items directly to
container lists for corresponding EAD finding aids to newly
selected items
o More time consuming and complicated with single
items within a larger collection
23
Example of digital content linking
WRAP UP
24
25
What do you do for these types of requests?
• Does anyone else has some sort of process like this that they
can tell us about?
• Are there CDM users out there with solutions to this type of
issue?
• What issues have you come across with your processes?
• When you have requests, do you scan everything or just what
is requested?
• What turnaround times do you expect?
• When do you charge/not charge?

Editor's Notes

  • #2: DARCY
  • #4: DARCY Two units were doing scanning Each with different specifications Each with different ways of naming the file and storing the file This created the potential for redundancy of work There was no process to add these items to the upload/metadata queue

  • #6: JENNIFER
  • #7: JENNIFER
  • #8: DARCY
  • #9: JENNIFER
  • #10: ANDREA As prioritization of getting patron driven digitization requests incorporated into our digital history collections increased – some questions concerned us from a metadata perspective… How will this affect our workflows? - our metadata creation duties are shared as a team but would these responsibilities be shared or would a single team member take care of these requests How fast do they expect us to finish the requests? - single items can be done very quickly as opposed to hundreds which would take longer – would this be taken into account when determining timelines Will new collections need to be created or will items be added to existing collections? - each metadata team member has a sort of ownership over collections as they oversee quality control and maintenance of existing collections – would they add items to collections they maintain or would that be up to Does
  • #13: DARCY Deadlines Evolution of form
  • #15: DARCY The majority of it should go online if we are going to the trouble of scanning it
  • #16: ANDREA/darcy Darcy to talk about generic landing page graphic and text
  • #17: Darcy to talk about generic landing page graphic and text (from previous slide)
  • #20: DARCY
  • #23: ANDREA/darcy We plan use our current process of linking EAD finding aid content to digital collection materials requested by patrons although, because much of the process is automated, it is easier to process entire collections than for single items within a larger collection From digitization perspective – we are now scanning based on the finding aid granularity. (Darcy)
  • #24: ANDREA Here are some screenshots that will give you a better idea of what our digital content linking is – the xml for EAD finding aids are modified to include links out directly to their corresponding digitized counterparts
  • #25: ANDREA Have you implemented anything like this? Do you use CDM – have a different solution? Did you encounter any unforeseen issues? If you receive a request, do you scan the whole container or just the materials requested? Anticipated turnaround time? When do you charge and when don’t you charge?
