1 INTRODUCTION
PURPOSE & SCOPE OF COMMUNICATIONS MANAGEMENT PLAN
The purpose of this document is to define the communications goals and strategies of the Gallery project. These high-level
strategies and goals are intended to provide guidance in planning and measuring results of the current and future
communications efforts.
The Gallery project Communications Management Plan (CMP) defines the project’s structure and methods of information
collection, screening, formatting, and distribution of project information. It also outlines understanding among project team
regarding the actions and processes necessary to facilitate the critical links among people, ideas, and information that are
necessary for project success.
The overall objective of a Communications Management Plan is to promote the success of project by meeting the information
needs of IDI and outline the goals of the communications efforts to reach and inform each team member.
Without detailed plans for communications activities that identify the organizational, policy, and material resources needed to
carry them out, the Gallery project will not be able to secure needed resources, coordinate efforts with team members, or report
its activities and results to IDI.
Communications planning activities identify the appropriate level of communication for team, what information should be
distributed and the frequency of communications. This plan should also include the vehicle of communications (email, live
meetings, etc). The risk of insufficient planning could result in failure to accomplish key project objectives, duplication of effort.

Gallery project communications efforts should be based on this explicit, detailed Communications Management Plan, with a
matrix of specific actions addressing communications needs of relevant IDI Activities. Success for Gallery project
communications should be measured against planned objectives.
The intended audience of the Gallery project CMP is Project team; team leader, Creative and Arts Directors, and IDI.

Project Communications are the Gallery Project’s primary tool for promoting cooperation, participation, coordination and an
understanding of acceptance between all team members. Gallery Project has four team members and one IDI Coordinator, all
with specific communications goals.

The Communications Action Matrix is used to define details regarding the communications activities that are used during the
course of the project. The matrix is developed and maintained by the Team Leader and Creative Director. The project team
member’s work together to develop a “matrix” of communications activities around each project milestone.

Task Each task is assigned to two or more people. This is a sprint team. This team
will report back to the entire group with a draft or WIP for comments. After
discussion and critique the sprint team will work on the final proposal.

Final Art Considered when the text, sketch or layout has been approved and has been
refined to final quality. Gathering references; Polishing design or cleaning an
art; these are processes for final quality
Post Mortem After completing each task the sprint team will provide feedback about
workflow. For example what practices were good? What practices could be
improved or replaced with others. This feedback is for us to revise future
progress. This report should be short and it should be posted on the IDI
forum.
Follow up Before final delivery we should revise all material once again and address any
final changes. After delivery I would suggest a post mortem: what went wrong
and what could have been done differently. I think this will help us to write
our individual self-assessments.

AUGUST 14, 2015 GALLERY PROJECT - MANAGEMENT AND COMMUNICATION PLAN 1 INTRODUCTION PURPOSE & SCOPE OF COMMUNICATIONS MANAGEMENT PLAN The purpose of this document is to define the communications goals and strategies of the Gallery project. These high-level strategies and goals are intended to provide guidance in planning and measuring results of the current and future communications efforts. The Gallery project Communications Management Plan (CMP) defines the project’s structure and methods of information collection, screening, formatting, and distribution of project information. It also outlines understanding among project team regarding the actions and processes necessary to facilitate the critical links among people, ideas, and information that are necessary for project success. The overall objective of a Communications Management Plan is to promote the success of project by meeting the information needs of IDI and outline the goals of the communications efforts to reach and inform each team member. Without detailed plans for communications activities that identify the organizational, policy, and material resources needed to carry them out, the Gallery project will not be able to secure needed resources, coordinate efforts with team members, or report its activities and results to IDI. Communications planning activities identify the appropriate level of communication for team, what information should be distributed and the frequency of communications. This plan should also include the vehicle of communications (email, live meetings, etc). The risk of insufficient planning could result in failure to accomplish key project objectives, duplication of effort.

AUGUST 14, 2015 GALLERY PROJECT - MANAGEMENT AND COMMUNICATION PLAN Gallery project communications efforts should be based on this explicit, detailed Communications Management Plan, with a matrix of specific actions addressing communications needs of relevant IDI Activities. Success for Gallery project communications should be measured against planned objectives. The intended audience of the Gallery project CMP is Project team; team leader, Creative and Arts Directors, and IDI. 2 COORDINATOR & TEAM MEMBERS IDENTIFICATION & ANALYSIS COORDINATOR, TEAM MEMBERS & GOALS Project Communications are the Gallery Project’s primary tool for promoting cooperation, participation, coordination and an understanding of acceptance between all team members. Gallery Project has four team members and one IDI Coordinator, all with specific communications goals.

This is a sprint team. This team will report back to the entire group with a draft or WIP for comments. After discussion and critique the sprint team will work on the final proposal. Gathering references; Polishing design or cleaning an art; these are processes for final quality Post Mortem After completing each task the sprint team will provide feedback about workflow. For example what practices were good? What practices could be improved or replaced with others. This feedback is for us to revise future progress. This report should be short and it should be posted on the IDI forum. Follow up Before final delivery we should revise all material once again and address any final changes. After delivery I would suggest a post mortem: what went wrong and what could have been done differently. I think this will help us to write our individual self-assessments. 3.3
