Documentation What is it? Why do you need it?
Ideas generation This is a process of creating, developing and
communicating ideas which can be visual or abstract,
but also the ideas generation includes different
processes through the idea, also concept and process
but the overall idea is wanted so they can bring it to
reality.
This document is needed so that ideas can be
produced but also to see if they can be processed into
learning and also improvements, it allows people to
share their ideas but also if it is able to be produced
within reality.
Proposal This type of documentation is when you want to put
ideas into place to meet the different media goals, so
this could be needing to know about your target
audience, but also investigating in case there is any
other competition which you maybe at.
You need a proposal document because this would
be put in place for a producer to follow if they wanted
to produce a new film (for example) then they would
follow this document to see what is age appropriate
for their target audience and what they can and can’t
include due to the different regulations of television.
Script A script is a type of documentation used to write a
film or broadcast, an example of this could be that
someone has written a script for a character for them
to know what they need to say when they are on set.
You would need this type of documentation when
you come to film for your production, this would be
because cast members would need to follow this on
set so they know what they need to say in the role of
their character.
Storyboard A visual shot by shot plan of the film or a section of
the film, containing a visual plan, timings,
information about shot movement and movement
within the shot, diagetic and non-diagetic sound,
special and visual effects and editing.
1. It provides a visualisation of your written
plans – what do you think your ideas are going
to actually look like through a lens.
2. It organises a scene in a script very specifically
into shots rather than narrative beats
3. It allows you to effectively time the different
shots – based on how much content there is in
the shot – and so lets you consider in more
detail the pace of the scene
4. It allows you to make sure that you are paying
attention to the grammar of a scene – the 180
Rule, the use of Shot/Reverse POV/Shot (the
Kuleshov Effect), line of sight shooting…
5. It allows you to check the logistics of your
planned movement within the shot and of
camera movement within the shot
6. It allows you to plan for the use of sound –
both diagetic and non-diagetic – within the
shot
7. It allows you to plan the editing linking shots
8. Along with a production script it provides a
detailed blueprint for the departments
managing the practical aspects of production
planning – costume, location, props…
Lighting Plans A lighting plan documentation should be put in place
for the crew to know if they need a specific light
putting in place on set, an example of this could be a
redhead lighting or as small as an LED lighting.
You would need one of these put in place to see when
and where you would need the different lighting, if
one of these documents was not put in place then this
could raise health and safety problems due to if
someone does not know they are on set then they
could injury themselves or something else could
severally go wrong.
Production
Schedule This usually is a timetable which shows the different
services which are going to be used at the certain
time or what you have done where and when, with
the different locations.
This should be put in place due to it needs to be there
for health and safety regulations; this is because
everyone needs toknow what is going on at what
time an example of this could be that if they were to
be filming outside then it should be in the production
schedule.
Location Recce This type of documentation is used to see if the
certain location is safe to film in, and if not then the
production team would need to see what rules and
regulations that it might not follow.
A location recce would be needed because if a certain
set was not safe to be filmed on then a risk
assessment or a health and safety check would need
to be put in place to make sure that none of the crew
are at risk.
Risk Assessment This documentation is needed on set because it
assesses overall if it is safe on set to film your
production, but it also assesses the hazards.
This would be needed to put into place because it
needs to identify the hazards of the certain set and if
there is any problems and what they could do with
the certain problem which may be occurring.
Budget A budget sheet would be needed so you know how
much money you have spent but also if you can
finically afford to produce your idea.
This is important to have because then you can see
how much money you have spent on the one set and
how much money you have left to spend on another
thing, an example of this could be new makeup for
cast.
Call Sheets A call sheet is needed because the schedule would
show where cast members are in the day but it also
shows where they may be needed for the particular
set that they are on in at the time - this needs to be
done for every single day of filming.
This would be needed to have when shooting for a
media production because it shows the crew where
they are needed for the set time but they are also
being told what time they may need to be ready for.
Equipment
Booking Forms
An equipment booking form document would be
needed so the production team know how much
equipment they may have lost or need extra for the
certain day/time of shoot.
This is needed as it shows the production team how
much the certain person has taken out of their
equipment and how low they maybe on tripods or
cameras for example; from here they could hire more
for on set (this would only be if its needed else they
are wasting money).
Contributor
Release Forms
A contributor release form would be needed for your
actors to agree to be in your production, this would
be because if they didn’t and then they did not want
to be in the film then legally they do not have to,
however if they signed it then you legally have
permission to put them in it as they have signed the
form.
This would be one of the most important forms of
documentation, this is because your actors are
needed to sign consent to be in your film; this would
be because if they didn’t and they didn’t want to be in
it and you still feature them in it then you are
breaking the rules and regulations of television but
also the law.
