should use when writing or
answering email messages. Email

Steps of Drafting an Effective Email Message
1. Use an effective “Subject Line”
A Subject Line plays an important role in creating an email. It
basically gives a brief idea what the email message is all about.
The subject line should be short and not a mixture of many
emotions.
2. Always start the message with a “Salutation”
A salutation is a greeting we use at the beginning of an email, a
letter, or a note. Examples:- Dear, Mr./Ms./Mrs./Hello/Hi or
Greetings

3. Make the message “Crisp and Clear”
An email message should reflect the
• “Purpose” of your message
• “Numbering your points” brings clarity and helps in telling the
reader exactly what you are looking for,
• “Politeness” shows you are a gentle person and the message is
not an attack
• “Readable” enough for the receiver to understand.

4. Drafting the message in “Paragraphs”
An email message should be composed in “Paragraphs” so that it
does not look like a letter or a complaint.
Paragraphs divide the message in a subtle manner enough for the
receiver to understand the message perfectly.
5. Thanking the “Receiver”
Writing a message and not thanking the receiver is not professional.
We should always thank the receiver for giving their valuable time
and cooperation.

6. “Complimentary Closing”
A “Complimentary Closing” is a polite ending to a message. This isn’t
essential but it warms up the end of the message. Example:-
Regards/Yours sincerely/faithfully or Best Wishes
7. “Signing” the message
Ending the message with your Signature/Name with the designation
(if applicable) and Contact Details is important because it gives a
clear idea to the receiver of the sender and how one can be reached .

Avoid discussing confidential and
personal matters on Emails
Always reply after thinking with
an appropriate response
Avoid responding when
emotionally drained
Using paragraphs to convey the

Avoid trying to resolve a conflict
via Email
Standard Font Size should be 12
and Font Color should be Black
Font should not overwhelm the
message
Always add your signature,
designation (if applicable) and
contact details
Avoid using unnecessary
backgrounds, emoticons, or
electronic signature quotes
Be very specific of the usage of
Bold, Italic and Underline
Avoid using CAPITALS, RED &long
sentences and SMS (shorthand)
languages
Be consistent with the format Read for content, punctuation and
