TechSoup is introducing new Microsoft academic licensing programs for libraries effective February 2021, expanding eligibility beyond public access computers to include all library needs. The offerings will include both on-premises and cloud solutions, with updated processes for requesting and downloading products. Libraries will need to register for a Microsoft account and may require custom domains to qualify for education offers, while software assurance will no longer be included in the available packages.

Eligibility for Libraries • Libraries are currently eligible for Microsoft’s Academic licensing offers. • Traditionally, libraries were eligible for on-premises donations for their public access computers only through Microsoft’s Charity program for nonprofits. This program retired at the end of 2021.

What Will Now Be Available Beginning next week (2/21), TechSoup will be able to provide Libraries with Academic licensing to support all library needs – public access and internal. Licensing will include on-premises licenses as well as cloud licensing, but only those available for the Academic sector.

Changes to How You Request Your Products Changes to Produce Request Process • In order to request Microsoft Academic products from TechSoup, organizations will contact our team who can place the order on your behalf. • We will also have to wait for Microsoft to determine your eligibility for Academic pricing. New Process to Download On-Premises Microsoft Products • You will access your products through the Microsoft 365 Administration Portal. • You will have 5 days to download the software that you requested. If you miss the download period, you can contact TechSoup for a new link. • Additionally, Microsoft will only offer specific versions of products; you will no longer be able to downgrade to an earlier version of the licenses you requested from TechSoup. Software Assurance No Longer Included • Microsoft products provisioned through TechSoup will no longer include Software Assurance benefits.

Changes to How You Request Your Products Getting a Microsoft account • If your Library does not already have a Microsoft account or 'onmicrosoft.com' domain, we'll help you create one • If your existing 'onmicrosoft.com' domain is not yet qualified for Education offers, we'll help with that too. Completing qualification for Education offers • Tech Soup will submit your finalized* onmicrosoft.com domain to Microsoft for Education for qualification review • Once approved, TechSoup will work with you to complete the provisioning setup, agreed payment method and complete your product purchase • *See next slide for custom domain requirement

It may have been provided to them by a city, state or other government entity. What does this mean for my existing licenses? • This change does not impact cloud licenses or current cloud pricing. You may still use your cloud subscriptions with no issue. How does this change impact my current cloud licenses? • On-premises solutions will still be available but as an academic discount. How should I manage public access devices that need device-based licensing? • Windows Upgrade licensing can be accessed as a user-based license, or commercial licensing is available for device-based licensing.
