company is a construction company, which needs project managers from
construction industry. Project managers are responsible for the planning,
management, coordination and financial control of a project.
Project managers can be considered as leaders. The responsibilities that they
have are really crucial. The responsibilities are agreeing project objectives,
representing the client's or organization's interests, providing advice on the
management of projects, organizing the various professional people working
on a project, carrying out risk assessment, making sure that all the aims of the
project are met, making sure the quality standards are met, using IT systems
to keep track of people and progress, overseeing the accounting, costing and
also billing.
The skills needed to accomplish all the responsibilities are organizational
skills, analytical skills, well developed interpersonal skills, numeracy skills,
commercial awareness, communication skills, team working skills, diplomacy,
ability to motivate people, management and leadership skills.
The interview will be made to fulfill all the skills or criterions above. Not to
forget, all of the instruments like applications and resumes, drug testing,
reference check, reliability and performance test will also be needed.
The future project managers of this company also will need a good degree,
preferably in a topic related to construction industry. The company needs a
significant body of experience in the appropriate field. The candidates may
also be required to be part of a professional or chartered body. Some
professional bodies such as the Association of Project Management offer
industry-recognized qualifications. These are not essential but would be
advantageous.
The interview activities will be divided into parts, which are related to all the
skills or criterions needed to fulfill the project manager’s scope.
Organizational skill
Questions like “When it is your responsibility to organize and plan a project
what steps do you take?” will be asked and the answer should show
preparation and focus when using organizational skills. Applicant should be
able to prepare narrowly focused project plans. Next, question like “How do
you accommodate last minute changes that have to be incorporated into your
work?” will also be asked and candidate should anticipate the possibility that
amendments have to be made and plan accordingly. They should also have
the skills to integrate new information into a nearly completed project.
Analytical skill
Candidate will be asked to play simple strategy games. Mostly considering
board games, but even video games will work. The need to process a lot
information to best deploy resources requires them to break down problems
and assess risk or reward in every turn. It's a great way to build habits and
skills that support analytical thinking. Based on the gameplay of the
candidates, we will get the chance to see how high are their analytical skills.
Interpersonal skill
Candidates will play one type of listening game involves a trainer giving
instructions on how to draw a picture. When a manager successfully listens to
the instructor, the picture will resemble what the instructor has in mind. This
game helps the manager listen to the concerns of others and envision how to
address their needs.
Numeracy skill
The candidates will be given a math test consist of algebra and other topics. A
stopwatch will also be set to keep track on the duration of time. This will help
us to judge them on how much time do the managers need to solve problems
that are related to numbers.
Communication skill
A topic of conversation will be given. It will be mostly about economic news,
political or construction latest news. The interviewer and the candidate will just
talk like normal people. Once the conversation has started to flow, the
interviewer will get the chance to see the knowledge, confidence and
experience of the candidate. The conversation etiquette will also be marked
as an important aspect. This will help us to see the credibility of the
information that is in the candidates mind.
Team working skill
The candidates will be asked to come together with other candidates to play a
game called Zoom. The group will try to create a unified story from a set of
sequential pictures. The pictures are randomly ordered and handed out.
Each person has a picture but cannot show it to others. Requires patience,
communication, and trying to understand from another's point of view in order
to recreate the story's sequence. This well help us to see the value of team
work in each individual. The teamwork skill is really important because a lot
can be achieved when teamwork is at best.
Management and leadership skill
Questions like “tell me about a time when you demonstrated leadership skills”,
“tell me about a time that you took the lead on a difficult project”, “When have
you delegated effectively?” “Who have you coached or mentored to achieve
success?” will be asked. This is the most important interview because project
managers really need the ability to lead. The candidates need to answer with
confidence and being able to lead and inspire a team to perform their best
and strive to achieve goals. The answers from the candidates will determine
their leadership skills and their confidence level to lead.
Based on the activities above, the 3 candidates that meet all the credibility
above and also have their own special individual skill will be the future project
managers for this company.
Task 3
In this century, Information Technology and Information Management have
played an important role in everyone’s life and especially for those business
companies. What is Information Technology? Information Technology as
known as IT and it defines as a term that encompasses all forms of
technology used to create, store, exchange and utilize information in its
various forms including business data, conversations, still images, motion
pictures and multimedia presentations. What about Information Management?
Information Management as known as IM and it defines as the harnessing of
the information resources and information capabilities of the organization in
order to create and add value both itself and for its clients or customers.
Furthermore, Information Management is the management of organizational
process and systems that acquire, create, organize, distribute and use
information.
Information Technology provides a lot of benefits to a company but on the
other hand, it may have disadvantages as well. What are the benefits can
Information Technology provides and to create competitive advantages to my
company? Firstly, it is the communication. With the help of communication,
the movement of information with in an organization or business has become
easy and first. The employees can easily move the information across the
departments without any disturbs. Moreover, with the help of communication
tools like phones, e-mail, fax and more can be used to send business reports
to executives, to update employees on projects and to connect with business
partners or customer and also can make purchase order with the suppliers.
Secondly, automated processes. By implementing this information technology
efficiently, it can increase the production and save more time and might as
well free the other workers to work on other stuff. As we said always, time is
money. For example, by using automated task in a steel bar factory, it can
produce more productions efficiently and also can increase the quality of the
products. Next, there are storing and protecting information. Information
Technology creates electronic storage systems to protect the company’s
valuable records and customers’ information. For example, virtual vaults keep
the information safe, which only can access by certain users within the
company to access or to make any changes on the documents. Furthermore,
with the help of Information Technology Security systems, the valuable
records and customers’ information can be protected by being hacked or even
wiped out. This can helps to enhance the customer’s confidence and loyalty.
Lastly, we can advertise our product and services through social technology
as it is so wide and power nowadays. By using this technology, we can
increase the brand awareness with minimal cost and might get more clients
as well which can help to develop the company and grow the profit.
Information Management also provides benefits to a company too. What are
the benefits that can create competitive advantages to my company? By
implementing information management, it will save more time and reduce the
cost. It enables the employees to share their work with each other to avoid
doing the same work. Besides that, it saves staff time by helping them find the
information they need quicker. Moreover, it gives better information to make
better decisions and avoid costly mistakes. Secondly, by implementing
Information Management, it can also reduce uncertainty and risk. We can
start up a cheap and fast experiment when we acknowledge the risky
processes. We can also optimize the experiments for learning. For example, if
a pharmaceutical company wants to invent on new drugs products, it is very
risky as it might fail and need to use lots of money. Next, add value to existing
products and services by providing better bundling or packaging and
increases the speeds of delivery. A good-looking product might attract the
customers and the customer will feel valuable for that item. By providing great
service in delivery, it can helps to gain more profit to the company as it can
convenient the customers too. Lastly, create new value through new
information-based products or services. We can create an online reservation
or online trading to convenient the customer to help the company to gain more
profit, as it is easy to access with.
As in conclusion, by implementing these Information Technology and
Information Management skills, I ensure that my company will gain the
competitive advantages over my company’s competitor. A company with the
good technology and management skills will make the customer satisfy and
happy. The customer will become loyal and might as well advertising our
company and invite their friends.
