 Maintain daily control on the administration of the location including personnel, reception, stock
taking, time sheets, wages sheets, sickness, leaves, etc., as per the defined procedures of the
company.
 Set objectives and ensure that all the departments are performing within the scope of work
achieving excellence in service. Ensure that functional heads are well informed about
contractual obligations in their given areas of activities.
 Liaise with client or his representative on site to receive feedback on the services provided.
 Liaise with Operations Head and other section heads in all aspects of location operation. Take
necessary decisions within authority as and when required to ensure the smooth running of the
location. Ensure that all minor issues concerned are dealt with on location (report major issues
to the Operations Manager).
 Inspect all areas of operation regularly to ensure compliance with company and client’s
standards and procedures.
 Hold daily meetings with function heads to review operational requirements, achievements and
improvements.
 Keep and maintain an approved record of client’s and company supplied equipment’s. Update
equipment list through periodic inventory. Request in writing repair or replacement of
equipment’s as and when required.
 Closely monitor stock levels and stock rotation and ensure compliance with the given targets
and objectives. Conduct regular inventories to check discrepancies between physical and
actual stock. Ensure that stock is properly maintained and procedures are followed properly.
Inspect storage areas to check any spoilage or damage to inventories.
 Keep constant touch with clients to forecast increase or decrease in man-days and inform the
concerned functions accordingly.
 Control reasons leading to pilferage. Ensure that no commodities are taken out of the location
without proper authorization and justification.
 Ensure that the correct financial controls are maintained, to include secured cash deposits at
close of business, closure of cash registered, spot checking, etc.
 Forward requisitions, invoices, etc. to head office on time.
 Prepare duty roster of staff on site and monitor compliance. Ensure proper allocation of duties
to control overtime.
 Ensure that correct procedures are maintained for smooth handing over of shifts (when
applicable).
 Monitor staffing level regularly. Prepare vacation, succession and replacement plan for key
personnel in consultation with the Operations Manager. Submit staff need forecast to HRD
through superior.
 Personally administer discipline at location.
 Identify staff training needs and initiate training process in coordination with superiors. Monitor
and supervise on-the-job training process on location as per training guidelines and procedures.
Ensure to keep up to date records of all training, both of-the-job and on-the-job.
 Ensure proper usage and handling of training manuals and material available on site. Keep
records of such documents and ensure proper handover as and when required.
 Ensure that all the documents related to staff movements and payroll such as monthly time
sheet, overtime justification sheet and transfer forms are kept up-to-date and submit to head
office with proper supporting on time for payroll processing.
 Consult and seek approval from superior for any non-contractual request from client involving
extra cost.
 Perform all other duties as directed by the Operations Manager within the scope of work.
 Develop and maintain good working relationship with client through regular contacts.
 Ensure that all staffs are well aware of their duties and responsibilities.
 Handle every complaint/suggestion from clients with positive attitude, sincerity and promptness.
Inform and consult superiors for major issues before responding. Keep clients informed about
actions through regular feedback.
 Ensure that all staffs assigned in various sections on location have received company and
client’s inductions and that this is documented.
 Conduct regular meetings with staff to share mutual concerns, work practices, improvement
plans and to communicate company’s policies, standards, objectives and other helpful
information.
 Ensure staff compliance with company policies and procedures.
 Lead and motivate co- staff by creating healthy work environment.
 Conduct monthly appraisal of staff using company’s prescribed appraisal forms. Ensure
fairness in staff appraisal. Send copy of appraisal to HRD for records.
 Maintain a professional and pleasant working relation with all his superiors and peers at all
times.
 Ensure all work is carried out in compliance with the Quality, Health, Safety and Environment
management system.
 Ensure that all accidents, fire, loss, theft and damages are reported to superiors immediately
and proper procedures are followed. In addition, where appropriate, take remedial action.
 Adhere to the QHSE rules and regulations of client.
 Use correct PPE and maintain them in good condition.
 Ensure proper usage and maintenance of all equipment’s.
 Conduct daily inspections of all areas ensuring upkeep of good hygiene standards.
 Arrange necessary QHSE training for staff in conjunction with the QHSE Manager on the
hazards related to his job.
 Ensure that periodic pest control is carried out in all areas of operations.
 Ensure that all employees under his control maintain the highest possible standard of personal
hygiene.
 Ensure that all the employees under his control are medically fit and a copy of their valid medical
certificate is available on site at all times.
 Ensure that the appearance of personnel is maintained at the highest level. Conduct random
inspections on personnel hygiene, cleanliness of uniforms, and proper identification (badges).
 Monitor all costs to ensure they meet the target set by the Operations Manager.
 Inform the management about developments leading to new business opportunities.
 Review and analyze operational results and figures on a daily basis for better control and
forecast.

 Responsible for smooth operations of all Mechanical, Electrical, PAC System, STP Plant
Operation, Plumbing installations, House Keeping, Recruiting manpower and civil
Works pertaining to facility.
 Ensure BMS operations are effective in satisfying the customer requirements.
 Ensure SLA for all locations are met in time & escalate the Shortcomings to respective

Chairman & Managing Director- Main Profile – Facility/Operations Residential & Commercial
Property - Malls etc Direct Report’s – 06 Manager’s and Employee strength of 380. Operations of
Three Branches of Shopping Centre’s Approx. 1,20,000 Sq feet each, a Fresh juice bottling factory,
a Bakery Product production Factory and the Warehouse.
 General Administration policy formulation, Stationary purchases, Setup layout &space
management; Parking Management, work organization chart; procedures such as SOP.
 Security functions - Maintains a safe and secure environment for employees & company
assets by establishing and enforcing security policies and procedures with effective
supervising of the security guard force.
 Responsible for planning, developing and implementing security plans, Physical Security,
Information Protection, Incident Management and/or Investigation..
 Manage stock control Dispatch &receipt, storage, retrieval and timely delivery of goods;

for their Transport management and ticketing issues.
 Maintain the best Fleet Operations for the Vehicles.
 Keeping proper control on the serviceability state of D G Sets, Chillers’ and Ovens, Probers
for proper functioning of the Bakery and at the shop.
 Deal with Ghana standard board and Food and Drug board with
 Issues regarding the Products and Calibration of Equipment’s in the Organisation.
 Running shift with safety and efficiency on priorities
 Organizing and addressing Management meetings.
 Sending the Operational MIS report to the MD for Proper Monitoring.
