Maginnis Project Partners, LLC Introduction Oracle User Productivity Kit (UPK) Professional is an easy-to-use and comprehensive content development, deployment, and maintenance platform for increasing project, program, and user productivity. With this presentation, we will demonstrate how organizations can produce materials for all phases of a P6 implementation effort, including process test scripts, job aids, instructor manuals, and training content (both in demo modes, as well as printed output). About UPK Oracle UPK is a single, synchronized authoring session that creates multiple outputs to support multiple learning methods. It enables centralized deployment, tracking, and reporting. We recommend that you use it during and after an application deployment to ensure rapid adoption of the application. UPK Developer captures all steps in a system process, and it records every keystroke, every mouse click, each menu option chosen and each button pushed. One of the best things about Oracle UPK is that it is now easy to document role-specific content for your end users. They can learn to use the applications far faster than ever before. In this case study presentation, we will be showing how we documented instructions for using our OP3 E-Business Suite Provider for Primavera Gateway product. Create the Outline Be consistent in naming modules, sections, and topics, including the verb tense you use. You must create an outline even if it has not been finalized, because you need to know what your steps are. Ensure users will understand where to find help as they go through the steps of using the application you are documenting in the UPK. Make sure you follow the process flow in your outline – don’t deviate on the fly. Keep the topics short and focused.

Customize the logo and configure the “Bubble.” Then prepare to record, by following these pointers. Test the steps in your outline. Test the data to make sure you will be showing clean, easily understood results. Setup the target application, and maximize the application view. Then check the sound and microphone settings. Now you are ready. Record the Topics Go slowly and follow the script. If using “Manual” recording, check for the next step before capturing the frame. If you are uncertain on an action, hit “record”- because it is easier to remove frames than to add missing frames later. Edit the Topics Now you are ready to edit your content. As you play back your recording, check that you have recorded the proper actions, and add text, as needed to clarify what is happening in the visuals. This is when you would include supplemental information that will be helpful to end users, as shown in the presentation slide deck. Test Once you believe you have the content completed, test it thoroughly and make notes along the way regarding changes you want to make. Keep Content Current Develop a plan to update the UPK content after each project implementation phase. When you have finished the complete implementation, deliver the final content for be used for training. Deploy all of the content - the documents, and player or in-application support. Assign ownership to update topics as processes change – it’s easier to make updates than to start completely fresh. And advocate for the use of your UPK deliverables as Job Aids, refresher training and new user training, as these tools will increase the adoption rate of the applications across your organization.
