Some Definitions of Terms Transaction : a software “logic process” that is relevant to an item and related activity Storage ID or SID : a physical location for stored items (empty or full) Fixed: bins or slots Movable (pallets, trailers, containers) Tracking File : holds info on serialized goods (e.g., engines, computer parts)  Attribute : descriptive term, i.e., “Secured”, “Flammable”, or “Refrigerated”
Warehouse Stations : provides a way to assign work to a location without relying solely on operators. A station allows work to be shared by multiple operators and multiple shifts without unnecessary reassignment. Warehouse Positions : defines each physical position in a warehouse Locator Codes : option to physically map warehouse locations -- a picture view Some Definitions of Terms

Warehouse Tracking Process
How does it work? Warehouse Tracking provides warehouse status and work scheduling with minimum data entry…automatically updated. Key Elements: Warehouse Status Data Incoming Transactions Assigning Who or Where Completing Transactions Updating Order Status
Warehouse Status Data Continually updated records include: Static information about each Storage ID (SID) Fixed or Movable Contents of each SID (item and quantity) Also accessible by item (Where is it?) Options for tracking and serial numbers Optional capacity status
SouthWare automatically updates… Inventory/Sales processes that affect stock on-hand quantity will create warehouse transactions during the update Receiving posts that affect stock on hand and generates Put-Away transactions Special option to receive into a pallet SID Physical count post, Inventory transactions, Returns, and Assemblies adjust warehouse quantities Picking tickets (which don’t update stock On Hand) Generate Picking (and optional Packing) transactions
A transaction contains… Each transaction is for a single line item and its related activity. There may be one or multiple activities on a single transaction.  Example – a simple receiving… An adjustment transaction automatically updates the item quantity into a Receiving area SID Corresponding Put-Away transaction (assigned to a station) will typically have two activities Remove quantity from Receiving area SID Put the quantity into a specified bin
Warehouse Transactions Warehouse activity is scheduled and tracked through warehouse transactions. These essentially record the movement of items into storage IDs and out of storage IDs in the warehouse. Adjustment Put-Away Picking Packing Movement
Assigning who and where… A Warehouse station is automatically assigned to each transaction Automatic defaults or override process Warehouse Transaction Controller – management tool to review and revise
How are Storage IDs assigned to transactions (TRX)? SouthWare uses a sophisticated multi-stage process to suggest tentative SIDs to use. Does it meet the client’s “rules” for assigning SIDs? Then test that hypothesis for a SID… Does the SID meet any Attribute requirements? Is there enough capacity for a Put-Away or Pick? Is there a movement class restriction for the SID, i.e., don’t put it here unless the item moves fast
How are Storage IDs assigned to transactions (TRX)? Suggest tentative SIDs to use. Does it meet the client’s “rules” ? Then test that hypothesis for a SID…
Station/Locator Preferences Client specifies the relative preference of each warehouse locator for each station Client controls which SIDs are examined first – very useful when no pre-assignments exist
Completing transactions… You can complete a transaction via: Handheld Interface  Transaction Controller This instantly updates the warehouse quantities and moves the transaction to history
Updating Order Shipped Status When you complete the shipping of an order line item in the warehouse: The quantities are updated in the warehouse The related Pick/Ship information for the billing transaction is automatically updated This selects the item for invoicing without any additional entry required
