IMPORTING CITATIONS
Four ways importing citations Direct Export Import Text File Online Search Manual Data Entry Unsure what to do? See http://libpweb1.nus.edu.sg/lion/e/endnoteimport.html Fastest, most efficient Slower, difficulty to choose filter Fast, but limited to library catalogues and few free database Slowest, least reliable
Direct Export “ One click” export directly from database. Usually button says “ Send to EndNote/RefMan/Procite ”, “ direct export ” or similar. When file is downloaded, in file dialogue box select “open” instead of “save”. Examples Psycinfo , International Bibliography of the Social Sciences, EconLit, Social Work abstracts, Geobase, Int'l Pol. Sci. Abs, Social Work Abstracts,1977, The Philosopher's Index ( OVIDSP ) Communication & Mass Media Complete, Business Source Premier ( EBSCO ) Social Sciences Abstracts Scopus Social Sciences Citation Index (via Web of Science) Expanded Academic Index ASAP, Geodek ScienceDirect ProQuest (including Dissertations & Theses) JStor Google Scholar
Direct export (hands-on) PsycINFO & Google Scholar For flash movie of demo , download and extract this two zip files ( Psycinfo , Google scholar ) in any folder, then click on html file.
Import Text File Export text file and save on computer Open EndNote (File => Import) Browse and select downloaded txt file Select Import option (filter) Examples Sociological Abstracts , Social Services Abstracts ( CSA ) LINC
Import text file (hands-on) Sociological abstracts & LINC For flash movie of demo , download and extract this two zip files ( Sociological abstracts , LINC ) in any folder, then click on the html file.
Online Search Search free databases (Medline) and library catalogues (including NUS) within EndNote desktop. All references found will be imported. LINC results – “Import Text file” versus “Online search” Examples Medline etc LISTA (Library information science and technology abstracts) LINC (NUS Lib Catalogue) and other Library catalogues such as Library of Congress.
Online search (hands-on) LINC For flash movie of demo , download and extract this zip file ( LINC - online search ) in any folder, then click on html file.
Manual Data Entry Enter citation by hand. Mainly for websites. Tutorial : http://www.endnote.com/training/WMVs/ENX2/06-Manual_Data_Entry.wmv

MANAGING AND ORGANIZING CITATIONS
Features covered Search within references Organize by groups Find full text Duplicate checking Link to PDF articles
Baseline – All references will be in this group After “Find duplicates” option ( temp ) After “Find full text” option ( temp ) After importing references ( temp ) After searching within EndNote Library ( temp ) After deleting Groups created after online search ( temp ) Groups created manually by users Groups created automatically matching rules Group created after transferring from EndNote Web
Groups – Types of groups Permanent groups* All References Custom groups Smart groups * Definition differs from EndNote Manual Temp groups* Imported References Duplicate References Online Search Full text Search results Endnote Web Cleared after exiting EndNote Remains unless user removes
References and groups Each reference can be in more than 1 group. “ All reference” group contains every reference ( except those in trash ) You can drag and drop references to custom groups and trash (will be deleted when closing EndNote Library). Deleting the whole group only removes the reference from that group and not the library. Deleting reference from any group (except custom group) from delete reference from library!
Search within reference Allows you to search within whole library or within groups. Click on any group to search within group, or select “add to showing reference” to search whole library and add to current references. Results will be displayed in the temp. “Search group” You can save/load searches, or covert a search to a smart group (see later) Creates/fills temporary “ Search results ” group.
Custom group Group references into user preferred groups. A permanent group that remains unless deleted. Several different ways to create a new group, or to add a reference to a new group. E.g. Right click on “group pane”, create pane / Right click on reference “add reference to..” Creates/fills permanent “ custom ” group.
Smart group Automatically adds references to defined smart group if it meets a certain criteria. From search pane, search -> options, convert to smart group From the Groups menu, select Create Smart Group. Then select rules Creates/fills permanent “ smart ” group.
Duplicate group References -> Find duplicate. What counts as a duplicate? Edit-> Preferences->duplicate. Creates/fills temporary “ duplicate references ” group.
For flash movie of demo , download and extract this zip file ( Searchcustomsmart ) in any folder, then click on html file.
Find full text Select references you want, then right click “find full text”. Creates/fills temporary “ full text ” group. Not very useful Downloads only “free” pdf, most times it will add a url to the paid site. Clicking on the link, will bring you to a “please pay” webpage, you can use the bookmarklet to try to access.
Link to Pdf files Choose reference, right click -> file attachment -> browse to file Default is "Copy this file to the default file attachment folder and create a relative link.“ This will copy the pdf into the .DATA folder and link to that file. Increases portability. Unformed Citation(s)
EndNote Library (files needed) .ENL file e.g. test.enl .DATA folder e.g. test.data EndNote Library references Contains figures, groups, pdf Portable to be placed in same directory
EndNote settings (files needed) *All page numbers refer to EndNote PDF Manual.
Other functions Compress (and email) Library (p. 264)* Transfer between EndNote desktop and EndNote Web (p. 569)* Handling figures, tables (p. 160)* Term lists (p. 257)* *All page numbers refer to EndNote PDF Manual.
ADDING CITATIONS TO YOUR PAPER
Cite While you write (cwyw) toolbar Easily and quickly cite references, figures & tables, and create a paper with properly formatted citations, a bibliography, figures & tables http://www.endnote.com/support/en_wpchart_win.asp
Microsoft Word 2003 Microsoft Word 2007
Rule #1 of using CWYW Do not manually over-write anything added by EndNote (shaded in grey!) Any changes will be automatically removed by EndNote the next time another citation is added.
Find & Insert Citation Find Citation Searches for the desired citation in the EndNote Library to be added to the paper. Insert Citation Within EndNote Library, select desired citation, click on this button and it will be added.
Edit Citation Customize individual selected citations. For instance, you can remove “author”, “year”, add page numbers etc when necessary.

Unformat Citation(s) Remove the formatted bibliography and citations and replace all citations with plain-text placeholders. Use when transfering between diff word processors (older versions, Mac etc). Plain-text placeholder Formatted by CWYW toolbar
Remove Field Codes All field codes are removed and replaced with actual typed citations in a new copy. Used before sending to publishers Once this is done, you cannot manage the citations via EndNote in the new copy.
Export travelling Library Each Word Document with citations inserted by EndNote has an accompanying “travelling library” You can export this “travelling library” to a new EndNote Library or add to an existing one Use this to create a smaller EndNote Library of citations you used in your article Use this to extract citations into EndNote Library from a paper (formatted by EndNote) sent to you by a colleague.
Insert Note Insert explanatory notes to be numbered as though they were bibliography entries, and then placed in the bibliography. Makes sense only if using a “numbered” style.
Figure related options Find Figure(s) Generate Figures List
Cite While You Write Preferences Various generic preferences Setting “instant formatting”, keyboard shortcuts, password to EndNote Web etc. If both EndNote Desktop and EndNote Web is installed on the same machine, use this option to switch between using citiations obtained from the desktop version and the web version
Cite while you write (hands-on) For flash movie of demo , download and extract this zip file ( Citeasyouwrite ) in any folder, then click on html file.
