At first glance, this is not a special problem, because in any larger environment, the E-Mail traffic is anyway provided by its own mail server.
Often one wants to set up but just no complex productive environment. Perhaps it is only a demonstration, development or test project for which a standalone mail server would be completely oversized: If you simply test wants to configure that a few automatic notification emails correctly be sent, you want a complete Exchange Server for no extra or Linux based mail server or integrate.
Also you might want for safety or architecture, for example of automated workflows, highly integrated mail server run generated emails do not have the normal.
As example: the system generates automatically certain documents that are sent by E-Mail to the internal fax server and fax sent from there. There are several reasons to treat these E-Mails separately: there are actually program instructions, and no email. If the ERP system by an error generated loads wrong fax jobs, the email of the company should not be affected. The emails are part of the process \"
Faxing\"
or \"
Ordering\"
, so it makes sense to provide full control over all aspects of this process the administrators of this process - also the POP3 server.
The Visendo SMTP Extender is a small and simple tool that fills this gap. It provides a native POP3 Server Extensions for Windows 2008 Server. This allows users to access the e-mail messages that can be picked up by any mail client via POP3 protocol. The Visendo SMTP Extender observed a drop folder, in the IIS SMTP server stores the received email. He qualified this emails according to certain rules and redirects you in different subfolders for the relevant E-Mail accounts. From here they can with any email client processes and picked up are, that supports the POP3 Protocol (EudoraMail, Outlook, Windows mail, Thunderbird, etc.).
The Community Edition is freely available, limited to 20 individual pop3 accounts (no support for multiple accounts). For advanced email flows, should look at the Professional Edition - we will take an info at the end of the article.
Here is a small guide on how you in a few minutes your Windows 2008 (R2) server to a simple mail server can upgrade: the SMTP server already exists in IIS and must only be enabled. With the SMTP Extender is added then the POP3 server.
1. Enable and configure the IIS SMTP server
1.1 Open you the Server Manager and enable if necessary the \"
SMTP Server\"
feature (in the role of \"
Web Server (IIS)\"
is automatically enabled with.)
1.2 Open you the old IIS Management Console 6.0 (!) (In the IIS 7 you cannot make unfortunately these settings), and make sure that the SMTP server is started.
You can make some settings under \"
Properties\"
; for most cases, the default values are but useful. Note that by default all authenticated computers can use the SMTP server to the relay. To change this if it is not desired.
Indicate now the domain for which you want to receive the emails. Choose \"
Alias domain\"
since the E-mails here be received and not redirected to (at least not to another SMTP Server).
Now, we can already send a test mail first, and see whether if everything has worked. For simplicity, we use Telnet to send the E-Mail.
The E-Mail should appear shortly afterwards C:\inetpub\mailroot\Drop drop folder in IIS (you can change this path in the properties of the default domain). There is an .eml file that you can view with a text editor. The SMTP Extender will later monitor this folder and move the emails from there in the folder of the respective recipient and expose for E-Mail clients for retrieval via POP3 protocol.
Tip: If the emails in the queue stuck C:\inetpub\mailroot\Queue, and never be moved into the drop folder, this is probably because that you have defined a remote domain instead of an alias domain. Then, the SMTP server assumes that it is used as a relay server that will forward mail for this domain only to another SMTP server.
2. Installation of the SMTP Extender
Download the appropriate msi package (32- or 64-bit). You start the installation by right click and \"
Run as Administrator\"
.
After successful installation, restart the admin interface. There is not much to do:
Start the service.
Specify a new account, and specify the folder where the SMTP Extender is to provide the emails for this account to pick up the mail client.
If you have specified the above account as the recipient with the above test mail, the SMTP Extender in the near future will bring the earlier sent test email from the IIS-drop folder and move to the folder associated with the account.
Thus the POP3 server is finished. We can now connect us with any mail client, to the server and pick up the mail. To do this we to create a new account in Outlook:
After the account is set up, it may take a little more, until his next collection cycle starts Outlook. By clicking on \"
all folders send / receive\"
immediately, you can force the pick.
And that was all already.
In the following, let us briefly consider the remaining setting options of the program and take a look behind the scenes (the configuration file and the log files).
In the above example we used the default settings, which are usually sufficient. Under \"
Advanced\"
you can
- Change the POP3 server port and IP (if you are using multiple network cards)
- use a different than the default IIS SMTP server drop folder
- change the path of the configuration file (see below)
The settings are stored in the VisendoSMTPExtender.config, which by default is to be found under C:\ProgramData\ppedv\. If you want to transfer your settings to another computer, you need to copy only the config file.
When something does not work, it worth taking a look perhaps in the very detailed log files of the program. You are also under C:\ProgramData\ppedv\ in the folder \"
Logs\"
. There are up to four files according to the schema Visendopop3service_[admin/receive/send/pop3send]_[datum].log created, where each the actions of the admin console, when you pick up the mail from the drop folder in mail in the accounts folder and deliver to the E-Mail client are logged.
As announced, we have a quick look at the Professional Edition that concludes:
The Community Edition supports 20 accounts and an SMTP server and processed up to 50 emails in a single pass.
The Professional Edition has no restrictions here, and offers in addition:
1. Support for multiple accounts
Instead to treat each account separately, all mail to a domain in a common folder are placed. The mail client then takes over the distribution in the correct mailboxes.
2. Various header fields and E-Mail sources (CRM, SAP)
The Community Edition can process only emails with specific header fields, precisely which of the IIS SMTP server. The Professional Edition, the header fields can be selected. Therefore, there is also E-mail can be processed by all sources (e.g. including SAP or CRM systems).
3. Unlimited client connections
The Community Edition can process at the same time only connections from up to 10 different email clients.
4. Attachments extract
On request certain unwanted attachments can be already removed from the SMTP Extender (e.g. because you are too big, have a suspicious file type etc.). The removed attachments are stored in a given folder. The user receives the E-Mail without the annex and a note.
5. Plugin extensions
The Professional Edition provides a plugin interface, which can extend the functionality of the program. For example an antivirus plugin, which can be used then e.g. as part of a multi-level spam protection is planned.
Conclusion:
The article shows how to with Windows 2008 Server systems in a fast and simple way receive email and forward it to a mail client can - without configuring an entire mail server for this right.
About Visendo
Visendo software is part of ppedv AG and offers innovative unified messaging software solutions, such as the Visendo fax server, popConnect Visendo and the Visendo MailChecker server. Visendo can look back on more than 13 years’ experience in software development with Microsoft technologies and is currently Microsoft Unified Messaging partner and Microsoft ISV (independent software vendor) certified.
