What is PowerPoint ® ? Presentation software that allows you to create presentations, handouts, notes, and outlines It can communicate ideas using text, images and sound on a series of linked pages, or slides.

Entering text Click in the text box you want your words to appear in.  Type in your information, just like you would in Word
Adding New Slides Click  I nsert Click  N ew Slide Ctrl+M PowerPoint ®  automatically sets the layout of the slide, but you can change it if you don’t like it.
To change slide layouts Click  F o rmat Click  Slide  L ayout On the right side of the screen, sample slides will appear with different layouts. Click once on the layout you would like to use and it will automatically change the slide that is currently on your screen.
Formatting Text You can change the font  type ,  size , or  color .  You can do this using the Toolbar at the top of the screen, or by using the  F o rmat  menu and clicking on the word  F ont
Slide Design Slide designs can be assigned to the entire presentation or to only one slide. To see the available designs, click on  F o rmat  and then click on  Slide  D esign .  The available designs will be seen on the right side of the screen.
Slide Design, cont’d. To change your presentation’s slide design, click on the one you want to use.  All of the slides in the presentation will change to that design. If you want to use it only for one slide, click on the arrow that appears and choose  Apply to Selected Slides .  That will only change the design for the current slide.
Clip Art Click on the  I nsert  menu, then choose  P icture  and  C lip Art A search box will open and you can search the available clip art. Once you have found the clip art you want, simply click on it to it add to your slide.
More Clip Art You can make the clip smaller or larger and move it around on the slide. Some clip art is even animated!
Animation You can have your slides appear on the screen in many different ways. The words on your slides can also appear in many different ways. You can add animation by going to the  Sli d e Show  menu and clicking on  Custo m  Animation You can also use the preset animations in the  Animation S c hemes
Viewing Your Slides N ormal  – default view, shows task pane, notes area and outline view, editing allowed Sli d e Sorter  – allows a preview of the order of slides, can change order of slides Slide Sho w  – view the show, no editing allowed Notes  P age  – allows a preview of the notes, no slide editing allowed (edit notes only)
Viewing a Presentation Go to the  V iew  menu and click on Slide  Sho w This will start the show.  You can move forward by clicking the mouse or using the right arrow key You can go back one slide using the left arrow key
Printing Your Presentation Slides – prints one slide per page Handouts – can print 1, 2, 3, 4, 6 or 9 slides per page Notes – prints notes for the presenter to use Outline – prints the slides and their contents in outline form
More About Printing If you print in color, they should appear on paper just as they are on screen. Grayscale will convert the colors to shades of gray Pure black and white is black text on a white page.
Saving your work PowerPoint files can get big quickly. Always have a backup method of saving your work
Save and Save As When using the library’s computers, you should always save to a compact disc or flash drive.  The Save and Save As dialog boxes look almost exactly like the Open dialog box. The Save feature saves your document with the same name to the same location that you have saved it previously. Save As allows you to rename your document, change its location, or both.
Saving Both  S ave and Save  A s are found in the  F ile menu. We are going to use Save  A s.
Save As (with a CD) To save on a CD go to the drop down menu and select CD Drive (D:).
Save as  (with a flash drive) To save with a flash drive, go to the drop down menu and select Removable Disk which is usually the E, F, or G drive.
Practice! As always, if you don’t practice your new PowerPoint ®  skills, you will lose them. You can practice now or come back to the library to use our computers again.

  • #3: Microsoft PowerPoint is a presentation program developed for the Microsoft Windows and Mac OS computer operating systems. Being widely used by businesspeople, educators, and trainers, it is among the most prevalent forms of persuasion technology : according to its vendor, Microsoft Corporation , some 30 million presentations are made with PowerPoint every day. In PowerPoint, as in most other presentation software, text, graphics, movies, and other objects are positioned on individual pages or "slides". The "slide" analogy is a reference to the slide projector, a device which has become somewhat obsolete due to the use of PowerPoint and other presentation software. Slides can be printed, or (more usually) displayed on-screen and navigated through at the command of the presenter. Transitions between slides can be animated in a variety of ways, as can the emergence of elements on a slide itself. The overall design of a presentation can be controlled with a master slide; and the overall structure, extending to the text on each slide, can be edited using a primitive outliner. Presentations can be saved and run in any of the file formats : the default .ppt (presentation), .pot (template) or .pps (PowerPoint Show).   • #5: Switch to PowerPoint to demonstrate.
  • #6: Automatically lays out first slide as title slide, next slide has title and text box, etc.
  • #7: Any changes you make to slide layouts or other features will always take effect on the slide that you have displayed on your screen. If you don’t like any changes you make, you can always use the Edit, Undo function to go back to the way it was before you changed anything. To change a slide other than the one currently on the screen, click on the slide you want to change in the overview of slides on the left-hand side of the screen.
  • #8: The same formatting options available in Word are available in PowerPoint ® .
  • #9: The slide design feature is what adds the fancy backgrounds and/or colors to your slide.

  • #11: Windows provides clip art that comes with MS Office programs. You can also use other pictures you find on the internet or that you have taken yourself.
  • #13: Click to have each sentence appear in a different animation. Sounds can also be added in the Animation menu. We can’t do that here (at least not and hear the sounds) because there are no speakers on the library computers.
  • #14: All of these options are available in the V iew menu Click and drag on slides to rearrange them in the slide sorter view. You can also drag them around in the Slides tab on the left hand side of the Normal view. You can edit the notes in the Notes Page view, but not the information on the slide.
  • #15: Starting the show on specific slide: click on the slide in the overview pane so that the slide you want to start with is in the center screen. Click the little picture of a screen at the bottom of the overview pane.
  • #17: You can also print your slides in color, grayscale or pure black and white
  • #18: PowerPoint presentations can be quite large, depending on how much you have added to them. Anything you add – clip art, sounds, animations – makes the file that much bigger. If you are trying to save it on a floppy disk, this can cause problems. PowerPoint files can also be too big to email to yourself. Library computers – all but 1 have floppy drive, all take USB Flash drives, some have CD burning drives. Floppies and CDs are available for $1 at the Reference desk
  • #19: Save is usually used when you have already named your document and told the computer where to save it to. It is the fastest option for saving your work. If you have not already named your document, you will be directed to do so the first time you choose to use Save OR Save As. If you have messed something up and want to restore it, DO NOT save your work. Saving your work makes any changes permanent and you lose the change to undo or redo anything. Files not saved to a disk are lost at the end of the day when the computers are shut down for the night. Disks are available at the Reference desk for $1.
  • #21: If you do not choose either a different name or a different location when using Save As, you will lose the original file to the new one.
