HOW TO USE THIS COMPETENCY-BASED LEARNING MATERIAL
Welcome!
The unit of competency, Developing Event Program is one of the
competencies of Events Management Services NC III, a course which
comprises the knowledge and skills that a person must achieve to
coordinate events, functions and/or conferences which may be held in
conference centers, hotels, motels, restaurants, clubs, resorts and luxury
liners
The module, Developing Event Program contains the knowledge, skills,
behavior and motivations required to design an event program. Event
managers, either internal or external to the sponsoring organization, would
generally undertake this role. Depending on the context, this role could be
performed by a wide range of individuals including event managers, local or
regional tourism managers, venue managers and marketing managers. In
this module, you are also required to go through a series of learning
activities in order to complete each learning outcome. In each learning
outcome are Information Sheets, Self-Checks, and Task Sheets. Follow
and perform the activities on your own. If you have questions, do not
hesitate to ask for assistance from your facilitator.
Remember to:
 Read information sheets and complete the self-check.
Suggested references are included to supplement the materials
provided in this module.
 Perform the Task Sheets until you are confident that your
outputs conform to the Performance Criteria Checklist that
follows the sheets.
 Submit outputs of the Task Sheets or Job Sheets to your
Facilitator for evaluation and recording in the Accomplishment
Chart. Output shall serve as your portfolio during the
Institutional Competency Evaluation.
When you feel confident that you have had sufficient practice, ask your
trainer to evaluate you. The result of your assessment will be recorded in
your Progress Chart and Accomplishment Chart.

INTRODUCTION
This module deals with the knowledge, skills, behavior and
motivations required to design an event program. Event managers, either
internal or external to the sponsoring organization, would generally
undertake this role.

Conferences can be large society meetings, smaller annual conferences for

in the field, network

Symposium
A Symposium is a meeting or small scale conference in an academic setting
where participants are experts in their fields. The experts present or deliver
their opinions or viewpoints on a chosen topic for discussion. Symposia are
particularly good for student speakers as it allows them to practice and get
feedback on their own work.
Seminars, Colloquium
 Seminars are a type of conference or other meeting typically designed
for training. Departments often host regular seminars of student
speakers or invited guests.
 Colloquia are informal meetings or seminars on a broad topic usually
led by a different lecturer at each meeting.
Roundtables and Workshops
 Round table discussions: Participants discuss a specific topic. Each
person around the table interactively participates.
 Workshops are usually interactive training where participants actively
engage in activities rather than passively listening to a lecturer.

Objectives of Conferences
After reading this information sheets the trainees will able to:
1. Understand and draft specific conference objectives in consultation
with the clients and colleagues.

Introduction:
Objectives define what is it that the event is to achieve. For some,
event objectives are clear and straightforward. Some events require taking
considerable time in data-gathering and research before the objectives can
be gleaned. Some events present a complicated web of ―must achieved,‖
leaving the event manager to untangle and weave concerns of all
stakeholders into a well-laid-out plan.
Events and conferences are staged to celebrate, commune, convene, or
for commerce. Whatever the purpose is, events lead to life experiences
considered as a short segment of time that creates a memory of a lifetime.
Events can also lead to learning experiences that spark convictions.
Effective managers plan with the end in view. A clear understanding of the
―why?‖ of the event leads to a cohesive plan anchored on well-defined
objectives.
The Event Objective
The event objective is a specific, measurable, attainable, realistic
statement of a desired outcome that is to be achieved within a stated period
of time or SMART.
The SMART framework is a set of criteria that is used to define objectives
across multiple disciplines and processes, from project management to
personal development. Basically, the SMART system states that a good goal
should be specific, measurable, attainable, relevant, and time-bound.

Let‘s break it down:
Specific: You have to state very clearly what your event should achieve.
Limit your objectives to a specific niche, target market, or a group of clients
to achieve better results.
Measurable: This part is usually about numbers, such as dates, ROI
estimation, and number of registrations—anything that can give a specific
quantitative or qualitative evaluation to your event. Working with
measurable results is always easier than with vague predictions.
Attainable: The problem many event organizers have is that they often live
in an imaginary land, hoping for illusory things that are impossible to
achieve. Setting realistic goals is an important part of success. However, it
doesn‘t mean you will be able to avoid all challenges. Aim for something that
is challenging but still feasible in your particular conditions.
Relevant: Not only should your goals objectively reflect the interests and
expectations of your target audience, but they also have to be relevant to
each of the goals you set. By focusing on the big picture of your event, you‘ll
be able to easily spot what‘s important and what can be left out.
Time-based: To be able to measure how well you perform with the set goals,
you need a detailed timeline. Goals that are aligned with deadlines are easier
to control. What‘s more, through the management of time-based objectives,
you learn to prioritize which is a skill that is essential to any event
professional.

How to Set SMART Objectives for an Event
Here is our short guide on how to quickly and efficiently establish SMART
objectives for event management:
1. Ask yourself first.
You are the one carrying the weight of the event here, so there is no one who
can set more targeted goals than you. To develop goals that work for your
audience, first analyze whether you have all the resources you need to attain
these goals. You can create a list of questions to guide your thoughts. Here
are the key questions that could help you out here:
 Why are you inviting people to attend your event?
 What outcomes do you expect?
 What are the channels that you‘ll use to promote the event?
 Do you have the metrics for measuring event ROI?
2. Make your goals SMART.
Next, take the list of goals that you came up with at the previous stage and
verify each of them against the SMART framework. For instance, if your goal
is something like ―boost the conversion rates,‖ you should indicate where
the signups should happen (e.g., the event website), how many signups you
realistically expect to get, how the goal can benefit your overall situation,
and by what time the goal should be achieved.
3. Establish useful connections.
As we‘ve already mentioned, it‘s your responsibility as the event manager to
make sure things work. However, if there are people who can assist you in
terms of attaining specific event goals, you should absolutely go for it. With
a focus on mutual cooperation, come up with the so-called ―help list‖ where
you indicate the contacts of all people or organizations that might be of use,
such as sponsors, vendors, and teams of volunteers. Reach out to those who
can add value as well as generate value for themselves.
4. Ensure there’s someone who has your back.
According to the study by psychology professor Dr. Gail Matthews, it‘s easier
to attain SMART goals if you have a supportive friend who keeps track of the
progress. Even if you are a very organized person, maintaining all the
criteria by yourself could be too much. In this case, go and find someone
who will help you get your act together, ideally a person acquainted with the
event and its main goals.

1. It‘s specific: You indicate what you are going to use (paid ads) and on
what platform (social media).
2. It‘s measurable: You can calculate the number of conversions based
on a geographic location.
3. It‘s attainable: You‘ve used evidence from the previous event to
determine attainability.
4. It‘s relevant: There is a clear indication of a specific experience that
your results should be verified against (your previous event).
5. It‘s time-bound: Although there is no explicit deadline, it‘s clear from
the context that the process is bound to the moment the event starts
since no more conversions can be made once an event starts.

Introduction:
The event market is a consistent source of revenues for hospitality
businesses. The growing market for events also means growing number of
prospects and targets.
Event Stakeholders:
Event stakeholders are individuals and groups who have some form
of interest in the event. Such interest may be financial, emotional, political,
social or any form of personal involvement in the event. The event manager
is just one of those who have interest in the success of the event.
The Host. This is the group or person who is giving the event. The host
may be the originator or champion of the idea to gather people together for a
particular occasion. For the event manager, the host is the client – the
group or person from whom you are to get directions from. The host is also
a partner with whom the event manager works to ensure a successful event.
The host‘s expectations must be clearly understood and managed very well.
The Guests. These are the people attending the event; they are variously
called audience, participants, attendees or visitors. The event manager

must have a very vivid picture of who the guests would be or who would be
in the audience, so as to make the event as suited to their needs as can be.
The Event Committee. This refers to the group involved in the planning
and execution of an event. This can be an ad hoc group from the host
organization, a team of volunteers, the host‘s staff, plus the event manager‘s
own team.
The Suppliers. The event manager works with other companies that will
bring the event concept into reality. The companies also stake their time,
resources and reputation on the event. Suppliers are also among the event
manager‘s partners to ensure a winning event.
The Externals. These include other entities external to the host or the
event manager. These could be Government regulatory agencies, the media,
the local government, the community, corporate shareholders who might
have their own stake on the event.

To reach the audience of over 13 million consumers aged 18-24 who
attend major music festivals each year, we created #GarnierMusic, an
innovative product immersion experience at five of the nation‘s hottest
festivals: Bonnaroo, Coachella, Big Barrel, Firefly, and iHeartRadio.
#GarnierMusic provided festival-goers with a shareable, lasting experience,
designed for full brand immersion with direct on-site product sampling that
included free hair-washing and styling.
At the heart of our program, we provided something all festival fans
crave – a cool hair wash and hot new style, delivered via a multi-sensory
experience that maximized brand immersion. Over the course of these three-
day festivals, our 40'x40' custom-built, fully-enclosed Garnier Salon
provided on-site hair washes, color consultations, and styling by
professional stylists, using Garnier products, for up to 80-90 concertgoers at
a time. To manage the crowds that would start forming as early as 7:00 AM,
we developed a sophisticated digital queue system that ensured a seamless,
hassle-free brand experience. The Salon experience also allowed attendees to

‗Rock Their Style‘ socially via photo activations and social integration on-
site.
Given the nature of camping-based festival weekends, on-site showers
are always in hot demand. So, Garnier took over all showers on the grounds
at each of the five festivals during the dirtiest of days, providing free product
upon entrance and exit, thus allowing every consumer who showered to
directly experience Garnier products.
We also distributed festival survival kits to festivalgoers, featuring
sample product and free branded swag, like sunglasses, bandanas, and hair
ties, to support festival style. The kits were sampled to artists, VIPs, and
early arrivals at the hair-washing queue, and were also seeded socially to
contest winners online. For concertgoers rushing between catching their
favorite music acts, we set up Garnier self-style stations throughout each
festival. These mini-stations enabled attendees to quickly touch up their
looks using Garnier‘s hottest styling products, while the brand benefited
from engagement across the entire festival footprint.
