Introduction to Presentation
• In addition to written communication, oral
communication is strong enough to convince
the target audience. In written
communication, it is upto the reader how
(s)he perceives the information whereas in
oral presentations the speaker gets the chance
to express his point of view better and more
clearly. He has opportunity to mould his talk
as per the need of time, place and audience.

Defining Purpose of Presentations
• We work for a cause, for a purpose.
Presentations are also made with the specific
purposes and their content and style is
determined to serve the purpose of the
presentations. They are broadly:
• To inform
• To persuade
• To entertain
• To motivate

Audience and Locale
• While speaking to a stranger, we are afraid of
discussing the issues that may hurt his
feelings. Similarly, while giving a presentation
we need to understand our audience.
• We should have some knowledge of the
number, gender, interests, background,
religion, geographical alliance and so on
before starting our talk. This in technical
communication terms is called audience scan.

Tips for Oral Presentation
• Try to connect to your audience, let them feel
at home and at ease with you
• Introduce the theme of your presentation
• Analyze the audience- general or specified
• Divide your speech in parts and in a sequence
• Be clear and precise, avoid ambiguity
• Ensure voice modulation, avoid monotony
• Look presentable but do not be flamboyant

Types of Presentation
• The presentations on the basis of their
purpose are divided into following types:
• Informative
• Instructional
• Persuasive
• Arousing
• Decision-making

Process of Presentation
• Planning, organizing and delivery are the basic
three components of the process of
presentation. It includes the following steps:
• Deciding the objective
• Manner and mode of presentation
• Preparation of script
• Rehearsal
• Presentation

Tools for Presentation Delivery
• Simply conveying a message is not enough for
making a presentation successful, the speaker
needs to leave a long-lasting impression on
the audience. The following tools may help:
• Confident, sincere and unbiased personality
• Analysis of the audience (primary and during)
• Appearance and physical actions, gestures
• Use of voice- binding with pitch modulation

Audio-Visual Aids
• Listening involves only one sense organ for
receiving the information. Whereas with
audio-visual means we communicate more
effectively as it leaves impression on the eyes
as well as on ears.
• Maps, charts, slides, pictures, videos, OHP and
black board are some of the examples of
visual aids. It leaves long-lasting effect on the
minds of audience.

Nuances of Delivery
• ‘How one speaks is more important than what
he speaks.’ Manner of delivery may prove
more powerful than the content delivered.
• Speaker should be ready with manuscript,
notes and also be ready to face impromptu
questions from the audiences’ side
• He should be patient, calm, full of positivity,
ready for unexpected situation/questions, etc.

Body Language (Kinesics)
• It is said that non-verbal communication is
sometimes more effective than the verbal
communication. Actually non-verbal
communication cannot be separated from
verbal communication. For example faces,
eyes, eye-contact, gestures, body-shapes and
postures and appearances communicate in
addition to what words may mean/say.

Setting Nuances of Voice Dynamics
• Monotony is always boring in anything. People
like change. To keep your audience connected
with you and aware enough, you need to
adopt certain strategies. Voice modulation,
inflections is one of them.
• Keeping pronunciations clear and avoiding
ambiguity and being careful with minimal
pairs may help the speaker to communicate
more effectively.

Time Dimension
• Punctuality is life of every action. It is said,
“Justice delayed is justice denied.”
• For making a presentation successful, we the
speaker needs to run with the clock. He needs
to cover the topics/sections of discussion
within the committed/pre-decided time limits.
• Taking longer time than committed may result
in loss of interest of the listeners.
