Welingkar’s Distance Learning Division
The Data Cycle
Data is very important to the organization and is at the heart
of every organization
Managing and storing enterprise data is fast becoming one
of the most Critical IT challenges
The types of processing which may undergo through life
cycle are :
Data capture:
The capturing of data is a necessary initial step preceding
other activities in data processing
The data collection is done as per the requirement of the
organization

The Data Cycle
Data Entry:
Data entry is the process of converting raw data to the
Digital form by physically entering or Scanning
Merging /Compilation of Data
After the required data has been acquired, it has to be
Merged, and Compiled as per the organization’s
requirements
Sorting of Data:
The Logical sequence of the data depends upon the purpose
of the information required. The sequencing of data needed
for the output of information is known as sorting ...cont.

The Data Cycle
The ‘order by’ clause is used by the modern databases to sort the
data on the desired sequence
The DBMS does the sorting on the Fly before presenting the data
to user or programmer which requested data in that order
Editing of data:
The editing or make changes in the data already entered of the
data is undertaken to correct the data
Data validation:
Data validation is the testing of input data records to determine if
they are correct and complete. this cannot be done with
complete assurance but reasonable assurance is always possible

The Data Cycle
Storage:
The process of data storage enables the reduction in
cost and improvement in the data management
Online storage is very expensive for the organizations
Very old data is usually stored and kept for Statutory
requirements by almost all organizations.
Current data is stored as backup
Data is stored in secondary devices such ad hard disk,
CDs, floppies, Pen drive

The Data Cycle
Data Access/Sharing:
Data items are of value only if they can be retrieved,
accessed and presented to those who need them for
decision or action to which they apply.
The Data stored should be accessible to all the users.
DBMS make this access possible and safe
Upgrading of data:
The items in the data have to be upgraded to reflect the
most current information, Upgrading is done on
continual basis

The Data Cycle
Data Archives
The form of storing very old data is known as Archival
The ideal archiving solution must guarantee to retain
the referential integrity and business context of the
archived data
Disposal of data:
Over time data looses its validity & is accessed less
often. gradually loosing business value & finally ending
with its disposal
