Duties & Responsibilities Undertaken:
 Purchase, receive and store the office supplies ensuring that basic supplies are
always available
 Coordinate the maintenance of office equipment
 Sort incoming mail and courier deliveries for distribution
 Prepare and send outgoing mail and courier parcels
 Forward incoming general e-mails to the appropriate staff member
 Maintaining vacation log of employees
 Arrangement of pick up and drop facilities for employees and guest.
 Issuing air ticket to employees.
 Arrangement of food and accommodation for employees
 Preparation of Gate Pass for new employees and visitors.
 Controlling of Vehicle and drivers.
 Management of water, Coffee and other office and site utilities.

 Arrangement and distribution of mobile and Bravo Card
 Administer petty cash according to established procedures
 Arranging an interview schedule.
 Sending Mobilization and Demobilization Notice to contractors.
 Receive and verify all requisition before forwarding to Superintendent for
approval.
 Prepare weekly and monthly manpower summary.
 Preparing the documents of newly hired employees.
 Supervising the work of low level clerks and assign jobs to them
 Assisting new employees.
 Receive a written or electronic account of all hours worked and leave taken for all
employees, which in turn is used to enter the data into the timekeeping system
(MIS)
 Obtain supporting documentation for all leave usage, premium pay and
compensatory time for travel.
 Ensure Time & Attendance records are submitted on every employee within
established deadlines.
 Employees for whom no data was received must be reported to the Supervisor.
 Maintain valid accounting tables within Time & Attendance program (MIS)
 Assist Time & Attendance Liaisons with corrective actions on rejected timesheets.
 Obtain effective dates from Human Resource Advisor or Supervisors of personnel
actions affecting employees pay or leave (time off awards, separation actions,
promotions, etc.).
 Adjust employee leave balances and Service Computation Dates as instructed by
Leave Share Coordinator, Workforce Management Office (WFMO) personnel or
Time & Attendance Liaisons.
 Prepare and validate corrected timesheets, as necessary.
 Working with the staff of the Time and Attendance Office, resolve leave errors in a
timely manner (5 pay periods), completing research and audits as necessary.
 Discuss timekeeping questions and leave errors with Supervisors and Time &
Attendance Contact Points and Liaisons.
 Achieve the given task in a specified timeframe
