CHAPTER 13: REPORT OUTPUT AND
DISTRIBUTION
Objectives
The objectives are:
• Examine the two remaining output types
• Review the other output and exception report options
• Introduce distribution options in the Report Viewer
Introduction
This part of training focuses on the options displayed on the Output and
Distribution tab of a report definition.
Depending on the output type selected, additional options are available including
exception reporting. Each option available on the Output and Distribution tab
are explored in the upcoming lessons. Being familiar with these options helps
users distribute their reports in the most effective manner.
NOTE: Refer to the "Detailed Income Statement" chapter for more information about the
Report library location and defining optional folders within the library.

Output Type
When you are generating a report, the following options are available in addition
to the default output type of Management Reporter:
• Microsoft®
Office Excel®
• XBRL Instance Document
NOTE: Refer to the "XBRL Reporting" chapter for more information about XBRL
Instance Documents.
Management Reporter
Management Reporter is the default output type when you are creating a new
report definition. When reports are generated, they are available for viewing
directly in the library, unless a specific folder is selected in the Report library
location.
In addition to defining the output name and location, users have the following
Management Reporter options to select from:
• Include headers and footers - when selected, the report includes
any text or images defined on the Headers and Footers tab
• Include format rows - when selected, the report includes descriptive
rows that are defined in the row definition
• Include underscore rows - when selected, the report includes any
single or double underscores that are included in the row definition
Microsoft Excel
The Microsoft Excel output type opens the Optional output path field. If an
optional path is not defined, reports are found in the Management Reporter files
location. On the Tools menu, click Options to review the default files location.
To define an output path that replaces the default location, click the ellipsis
button (...).

In addition to the formatting options available with the Management Reporter
output type, Microsoft Excel options include the following:
• Include fonts and shading - formatting from the row and column
definition are included in the Excel presentation
• Generate to single worksheet - by default, reports are generated to
an Excel workbook, with tabs for each detail level and reporting tree
unit that is generated
In the following steps, generate the existing detailed income statement to the
Microsoft Excel output type.
1. On the navigation pane, double-click Report Definitions.
2. Double-click IS_Dtl. Notice that the Detail level reads Financial,
Account, and Transaction and the DEPT reporting tree is
associated with the report.
3. Click the Output and Distribution tab and then click the Output
type drop-down. Select Microsoft Excel.
4. Select the View report when generated option.
5. Save the report's changes and then click Generate Report. The
Report Queue Status window displays the Excel processing status.
6. Notice that a tab or worksheet displays for each reporting unit and
corresponding detail level. Review the tabs in the workbook and then
close Excel.

Other Options and Exception Report
In addition to the options related to the output type, Other options and Exception
report selections are available when users are defining a report.
Other Options
Depending on the output type selected, two other options are available with
generating a report:
• Replace output file without warning - automatically overwrites
any existing file of the same name when active. Multiple versions are
stored by default when a user generates reports to the Management
Reporter output type.
If this option is not selected and a report is generated to the same
location with the same file name, the user will see an error in the
Report Queue Status window.
The Replace output file without warning option is available and
selected by default with the following output types:
o Microsoft Excel
o XBRL Instance Document
• View report when generated - in addition to generating the output
file type selected, this option opens the report in either the Report
Viewer or Excel, including any detail levels selected on the Report
tab. This option is available with the following output types:
o Management Reporter
o Microsoft Excel
Exception Reports
Exception reports help users report either missing or duplicated dimensions based
on the beginning and ending range of dimensions that are included in the row
definition. After generating the report, users review any exceptions in the same
presentation selected for the output type.
In the following steps, generate the detailed income statement for missing and
duplicated accounts.
1. If it is necessary, in Report Definitions, double-click IS_Dtl.
2. Click the Output and Distribution tab and change the output type
to Management Reporter.
3. Select both Report missing accounts or dimensions and Report
duplicate accounts or dimensions.
4. Save the change to the report and then click Generate Report.

5. Double-click the Income Statements folder and open IS_Dtl.
6. On the View menu, click Exception Report. Notice that the report
contains no exceptions.
7. On the File menu, click Close All.
NOTE: Exception reports are available with Management Reporter and Microsoft Excel
output types. When selected, Yes is noted on the Report tab in the Output and distribution
summary area.

Report Viewer Distribution
Reports that are output to Management Reporter and analyzed in Report Viewer
can also be printed or exported within the Report Viewer module.
Print
When selecting the Print option on the File menu, users can select from the
following options:
• Printer - select from options displayed in the drop-down list or click
the Printers button to define additional options.
• Print range - some options are unavailable if the report definition
does not include a reporting tree
• Report type - options are available based on the report definition
settings and the print range selected
• Copies - select the desired number of copies to print
• Collate - available when users are printing multiple copies

Export
Two options are available when users are selecting the Export menu option in
the Report Viewer: Microsoft Excel (.xlsx) and XBRL Instance Document.
Both export selections list the options available on the Output and Distribution
tab of the report definition, in addition to the following Export range options:
• Current view
• Current reporting unit
• Selected reporting units
• All reporting units
Report type options are selected based on the report definition settings.
Microsoft Excel options are also available.
Exporting to XBRL Instance Document requires inclusion of XBRL detail in the
report definitions and related building blocks.
Summary
This part of the training explored alternative options available for report
generation, including Microsoft Excel and XBRL Instance Document. Additional
options related to each of the output types were also introduced, together with
exception reports.
Exploring the various output options lets users select criteria that serve their
report distribution needs.
