- 3. What is Clarity? Sentences and paragraphs should NOT be lengthy Sentences should be written in active voice There should NOT be any fragment or run-on sentences The subject and verb should be in agreement and can include many more parameters
- 4. The Tool Microsoft Word is a common word processor used by writers across the globe. Most users are aware of the Spelling and Grammar features of MS Word. In this presentation, we’ll look at some advanced Grammar & Style features that help proofread content and ensure that it is easily understandable.
- 5. Default Language When you run the spell check feature (f7) in MS Word, the spell check and proofing is done on the basis of the language set for the document. If the language is set as English (US), then the English (US) dictionary is used to check for spellings.
- 6. Default Language Before running a spell check, ensure that the language setting for the document is correct. If you wish to change the language, double-click on the book icon on the status bar, then select a language from the Language dialog box, and click OK . To make the language a default language, click Default… , then click OK .
- 7. Grammar & Style Settings By default, MS Word checks for grammar, you can change the setting to check for grammar & style. Office 07 users: Click the Office menu and click Word Options>Proofing , then click in the Writing Style drop-down list box and select Grammar&Style . Office 93 users: Click Tools>Options>Spelling & Grammar , then click in the Writing Style drop-down list box and select Grammar&Style .
- 8. Grammar & Style Settings You can select proofing parameters from the list of Grammar & Style options. Click on Settings and then select the required options from the list of Grammar and Style options and click OK .
- 9. Grammar & Style Settings You can also activate the readability statistics feature. It is a good practice to select the Show readability statistics checkbox.
- 10. Grammar & Style Settings The Readability Statistics report indicates the understandability level of your writing. If you activate the readability statistics option and then run a spell check on the document, a Readability Statistics report will appear at the end of the spell check. The report gives you a count of the words, characters, sentences and paragraphs in the document; indicates the average length of a paragraph; the percentage of passive sentences and the Flesch-Kincaid reading levels. Note: From personal experience I have realised that at times, the readability statistics displays inaccurate data for formatted documents.
